Tennessee Dental Association is Hiring a Director of Operations Near Franklin, TN

The Tennessee Dental Association (TDA) Director of Operations supports core functions across the association including building and office operations, human resources and financial administration, and event management. The ideal candidate is an adaptable multi-tasker who is a creative thinker and understands multiple business disciplines. As a member of the TDA team, you will help dentists succeed and advance oral health initiatives while working with motivated, smart, and purpose-driven colleagues.

Responsibilities:

Operations

  • Implement and optimize operational processes and tasks to enhance efficiency and ensure the smooth functioning of the association and office.
  • Evaluate and manage building maintenance, office equipment, and technology.
  • Serve as the primary contact for tenants.
  • Manage key building access and communication services, including phone and internet systems, security codes, and building keys.
  • Plan for and implement improvements and solutions with IT vendor/contractor.
  • Identify process enhancements and cost savings, ensuring resources are allocated appropriately.
  • Oversee and negotiate contracts for office and building.
  • Ensure basic office systems and routines are functioning efficiently and in compliance.
  • Provide general association office management support such as meeting preparation, managing public and member inquiries, answering the main phone line when needed, and maintaining files.
  • Serve as liaison to committees and affiliated organizations as assigned.

Financial

  • Assist with financial administration tasks, such as budget tracking, bill payment, purchasing, invoicing, expense reporting, and providing information to the bookkeeper and tax/audit accountants.
  • Interface with our contracted accounting firm, to support accounting procedures and systems.

Human Resources

  • Support the executive director in human resources.
  • Work with the executive director to ensure job descriptions, personnel policies, and practices are current and accurate.
  • Facilitate the onboarding process including required paperwork and disseminating benefits information.
  • Assist employees with benefits inquiries, enrollment, and changes.
  • Assist with maintaining accurate records and tracking staff benefits.
  • Design processes and procedures that foster a positive work culture.

Other

  • Work with the executive director to manage aspects of the annual conference.
  • Assist with conference space and site planning.
  • Assist with conference budget tracking.
  • Responsible for compliance and record-keeping related to ADA CERP standards and accreditation.
  • Oversee dental study club program standards and processes.

 Requirements:

  • Bachelor’s degree required.
  • Ability to commute to the office within the hybrid work schedule.

Qualifications:

  • Demonstrated project management skills.
  • Ability to maintain confidentiality with sensitive information.

Salary is commensurate with experience. Competitive benefits include: 100% employer-paid medical for employees. Direct reimbursement plan for dental and vision expenses. The TDA is currently operating with a hybrid work schedule. The Director of Operations will work predominately from the TDA office through the initial onboarding. Any current or future telecommuting policies and schedules are subject to change and the TDA retains the right to modify such policies.
