ABOUT THE JOB
As a Project Controls Specialist, you will administer, integrate, and support the work of the Project Management group to include, project/budget setup and reconciliation, subcontractor paperwork, development, implementation and submission of schedules, invoices and other pertinent financial documents required for project execution. You will also use data collection to suggest improvements to processes.
Responsibilities include:
Assists the Business Unit Project/Program Managers with close-out of projects
Supports monthly financial projections by analyzing consultant, employee and subcontract labor
Develops and maintains management plans approved by the Project/Program Manager as per contract guidelines
Coordinates and compiles input from team members for various weekly reports
Supports senior staff and ensures satisfaction of project milestones and customer requirements
Monitors project execution and make suggestions to achieve maximum effectiveness for international and domestic projects
Tracks and analyzes financial data and budgets as requested
Produces financial reports as requested
Ensures both company and client standards are met during the course of the project
Creates and maintains classifications and rates assigned to the project
Develops and submit project invoices
Develops and submits government required documents for monthly reporting
Assists Project/Program Managers with the setup of project budgets
Assists Project/Program Managers with monthly project schedule updates
Assists Project/Program Managers with the processing of job cost changes and budget updates
Assists Project/Program Managers with monitoring man-hours and expenditures throughout the course of the project to determine progress, cost per deliverable, and provide weekly cost summary reports
Supports Business Unit with tracking project financials and schedules
Conducts general clerical duties as required (typing, filing, meetings, etc.). Prepare memos, forms, and letters as needed
Files electronic and hard copy documents
Ensure contracts and other agreements are properly executed and filed
Submits and tracks business licenses
Ensures accounting has necessary contract documents and notifications for project maintenance and timely payments
Performs other duties as assigned
WHAT WE’RE LOOKING FOR
Preferable that the candidate possesses a Bachelor’s degree in a related field (Finance, Business Management, Management)
3-5 years working experience in a similar role
Intermediate proficiency in Deltek – Costpoint, Microsoft Word, Excel and Outlook
Intermediate proficiency in organization and prioritization
Intermediate proficiency in oral and written communication
Ability to work independently and with a team
Ability to apply judgement, analyze problems and provide solutions
General knowledge of Project Management processes
General knowledge of Federal contract invoicing is preferred (WAWF, IPP)
