Job DescriptionWho We AreThe Office of the Registrar has the primary responsibility of maintaining academic records of all current and former students. The Office of the Registrar has two priority goals: to maintain a high quality of service to all who come into contact with the office, and maintain and protect the academic integrity of the student record in accordance with University, state and federal guidelines.
What We WantThe Office of the Registrar is seeking to hire a motivated Administrative Coordinator II who will be responsible for state policies compliance coordination. This includes assisting students, parents, and the campus community in understanding the interpretation of state statues as they apply to residency for tuition purposes, the $1,000 Tuition Rebate for Qualified Undergraduate Students, Excess Credit Hours, B-On-Time Loan Forgiveness Eligibility, Three-Peat course charges, and locked rate versus variable rate tuition. In addition to assisting with interpretation, this individual will also be responsible for determining state policy eligibility and applicability for individual students based on the official Texas A&M University Academic Record.
What You Need To KnowSalary Range: $50,000.00 - $55,000.00 (Based on selected hire’s qualifications)

QualificationsRequired Education and Experience:
  • Bachelor's degree or equivalent combination of education and experience
  • Three years of experience in office administration
Required Special Knowledge, Skills, and Abilities:
  • Knowledge of Microsoft products such as Word, Excel, and PowerPoint
  • Adaptable interpersonal communication skills
Preferred Qualifications:
  • Minimum one year in higher education, planning and organizational skills
  • Ability to present to large constituent populations
ResponsibilitiesTexas Residency Determination
  • Develops and maintains knowledge and understanding of the Texas Residency for tuition purposes guidelines
  • Interprets and applies State of Texas guidelines to assist in determining whether a student has met the qualifications to be classified as a Texas Resident for tuition purposes
  • Uses personal discretion when determining what additional documentation should be provided by those seeking Texas Resident status based on evaluation of student situation and previously submitted documentation
  • Uses independent judgment in determination of Residency status based on individual circumstances
  • Responsible for notification of residency status determination
State Policies Correspondence
  • Answers email, phone calls, and conducts walk-in visits for the State Policies section, which includes inquiries made regarding Texas Residency, Tuition Rebate process, Excess Credit Hour rule, Bacterial Meningitis, Three-Peat fees, and B-On-Time Loan Forgiveness eligibility
  • Responds to non-routine requests regarding state policies
  • Evaluates incoming mail, correspondence and inquiries and provides proper instructions for solution to requests
  • Assists in the distribution of bulk mail pertaining to Tuition Rebate and Excess Credit Hour rule Assists Assistant Registrar and Director with requests for media and presentations on state policies from other Texas A&M University departments
  • Prepare documentation for appeals regarding State Policies submitted to the University Fiscal Appeals Panel
Tuition Rebate Administration
  • Develops and maintains knowledge and understanding of the Tuition Rebate process and guidelines surrounding the eligibility of a student to receive a tuition rebate
  • Analyzes student records and applies Tuition Rebate requirements and guidelines to determine whether a student is eligible for a tuition rebate
  • Uses personal discretion regarding situations not clearly defined in the guidelines set forth by the Texas Higher Education Coordinating Board
  • Responsible for providing students with procedures for University Student Fiscal Appeal regarding Tuition Rebate
Excess Credit Hour Processing
  • Develops and maintains knowledge and understanding of the Excess Credit Hour rule
  • Interprets and applies the guidelines set forth by the Texas Higher Education Coordinating Board to assist in determining whether a student is in excess of their allotted credit hour.
  • Responsible for reviewing student records and determining total hours attempted
  • Reviews student records and analyzes situations not clearly defined in the guidelines set forth by state policy to determine student status in regards to excessive hours
  • Determines what additional information must be provided from the student to assist excessive hour determination
  • Responsible for contacting Texas Higher Education Coordinating Board to request release of state records for students
  • Responsible for providing students with procedures for University Student Fiscal Appeal regarding Excess Credit Hour limit
B-On-Time Loan Forgiveness and 3-Peat Fee Administration
  • Develops and maintains basic knowledge and understanding of the B-On-Time Loan Forgiveness process and guidelines surrounding the eligibility of a student to have this loan forgiven
  • Interprets and applies B-On-Time Loan Forgiveness requirements and guidelines to assist in determining whether a student is eligible for B-On-Time Loan Forgiveness
  • Works with Student Business Services to explain and maintain 3-Peat fees based on prior registration
