Job DescriptionClerk III
Under the supervision of the Chief Nurse Executive, works a designated eight (8am-5pm) hour shift. Performs moderately complex secretarial work. Work involves answering correspondence, reviewing mail, providing information, and performing advanced clerical duties. Maintains files and reports and assembles and organizes information for the Chief Nurse Executive. Works under the general supervision with moderate latitude for the use of initiative and independent judgement. Types correspondence, prepare reports, maintains files, schedule activities, meetings, takes minutes at monthly meetings, transcribes minutes. Will perform other duties as assigned by the Chief Nurse Executive.
Essential Job FunctionsAttends work on a regular and predictable schedule in accordance with agency leave policy and performs other duties as assigned
  • Assists CNE with a variety of administrative details. (15%)
  • Prepare and process new nursing packets for hire to HR. Assist new applicants with available job postings. (15%)
  • Collects monthly schedules from SSLC nursing. (10%)
  • Complies with all facility continuous quality improvement process State Supported Living Center (SSLC, Medicare, ADA, etc.) supporting positive growth in operations, which performed under applicable agency regulations. (5%)
  • Maintains an operable administrative technical and fiscal filing system which allows for easy retrieval of information. (10%)
  • Maintains and or oversees nursing education needs and certification. (10%)
  • Performs related work as assigned. Prepares, edits, and reviews all secretarial/clerical work for accuracy and completeness, reports, governing body reports, correspondence, manuals, requisition, records, and other related form for the nursing department. May perform data entry and retrieval and arithmetic computations. (10%)
  • Provides assistance to other department when requested by the CNE. (10%)
  • Receives incoming (SSLC nursing) mail; routing mail not requiring supervisor's attention to proper officials; composes non-routine replies independently. May open and distribute incoming mail and prepare mail-outs. (5%)
  • Record and or transcribes meeting/conference minutes, answers inquiries regarding procedure and policies and provided routine information to the public by mail or telephone as required by CNE. (5%)
  • Employee actively participates and or serves in a supporting role to meet the agency's obligations for disaster response and or recovery or Continuity of Operations (COOP) activation. (5%)
Knowledge Skills AbilitiesKnowledge of basic office practice, arithmetic, filing systems
Knowledge of confidentiality of information.
Knowledge of Settlement Agreement guidelines
Knowledge of computer technology windows word, outlook, email, excel, etc.
Knowledge regarding nursing department policies and procedures, personal safety, universal precautions, and infection control.
Skills in communication, verbal, written and proper phone etiquette.
Skills in organizations and prioritizing work task.
Skills in use of office equipment, calculator, copies, fax, Dictaphone, etc.
Able to type 45 words per minute.
Able to follow oral and written instructions.
Ability to maintain composure in fast-paced office setting and pleasant mannerisms.

Initial Selection CriteriaEducation equivalent to a high school degree.
  • Application should reflect a minimum two years’ experience using email and other automated applications, such as Microsoft Office products.
  • Application should reflect experience in secretarial duties which include customer service.
Additional InformationApplicants must pass a fingerprint criminal background check, pre-employment drug screen, and registry checks including the Client Abuse/Neglect Reporting System (CANRS), Nurse Aide, Medication Aide and Employee Misconduct and HHS OIG List of Excluded Individuals/ Entities. Males between the ages of 18 – 25 must be registered with the Selective Service.
All State Supported Living Center (SSLC) employees are subject to Random drug testing.
Flexibility in work hours may be required for this position. The position may be required to work overtime and/or extended hours.
