As a Service Supervisor at Total Fire Protection, you will provide essential administrative support to the service department and assist the service manager in coordinating service operations. Your primary responsibility will be to handle various administrative tasks, maintain service records, communicate with clients, and support the overall efficiency and effectiveness of the service department. This role requires strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.

Responsibilities:

  • Assist the service manager with administrative tasks, such as scheduling meetings, managing calendars, and handling correspondence.
  • Prepare and maintain service department documents, reports, and presentations.
  • Manage and maintain electronic filing systems, ensuring accurate and accessible records.:
  • Respond to customer calls, emails, and other inquiries promptly and professionally.
  • Collaborate with the customer service team to ensure a high level of customer satisfaction.
  • Create and maintain accurate and up-to-date service records, including work orders, service reports, and customer contracts.
  • Enter and update information in the service management system or database to track service progress and completion.
  • Generate reports on service activities, such as response time, technician performance, and customer feedback.
  • Assist with billing and invoicing processes, ensuring accuracy and timeliness.
  • Vendor and Inventory Management:
  • Coordinate with vendors and suppliers to procure necessary equipment, parts, and materials for service operations.
  • Maintain inventory records, monitor stock levels, and initiate purchase orders when needed.
  • Assist with vendor invoice processing and reconciliation.
  • Documentation and Compliance:
  • Ensure compliance with relevant fire codes, regulations, and company policies.
  • Maintain knowledge of industry standards and updates related to fire and life safety services.
  • Assist in the development and implementation of standard operating procedures and best practices.
  • Team Collaboration:
  • Collaborate with service technicians, coordinators, and other internal teams to support efficient service delivery.
  • Communicate service-related updates and changes to the appropriate personnel.
  • Participate in departmental meetings and provide input on process improvement opportunities.

Requirements:

  • Ability to present current working papers.
  • Strong organizational and multitasking abilities.
  • Detail-oriented with excellent analytical skills.
  • Proficiency in Microsoft Office applications, particularly Excel.
  • Excellent written and verbal communication skills.
  • Ability to work independently and collaboratively in a team environment.
  • Strong problem-solving and critical-thinking skills.
