Position Summary

The Administrative Assistant is responsible for supporting the administrative operations of the organization.

Essential Functions

  • Professionally answer multi-phone system and direct calls accordingly Serves visitors by greeting, welcoming, and directing them appropriately Provide administrative support to multiple departments
  • Assist other Administrative & Executive Assistants with special projects as needed Scan, fax, mail, and copy documents and files as needed
  • Assist in gathering information and reports for meetings Deliver mail and send packages as needed
  • Manage expense reports, calendars, and travel
  • Conduct inventory of supplies, food, and drinks for order processing
  • Restock and replenish floor snacks, beverages, and office supplies on all floors
  • Handle maintenance requests for various facility needs such as temperature adjustments, lights out, etc.
  • Input maintenance requests into the IMPAK building maintenance ticketing system and monitor their status
  • Assist with onboarding and offboarding processes for employees
  • Manage the activation and deactivation of parking and building access badges
  • Coordinate and schedule in-office vendor maintenance visits
  • Provide on-site management during vendor maintenance visits

Knowledge, Skills, Abilities and Competencies

  • Proficient in Microsoft Office Suite; Excel, Word, PowerPoint, and Outlook Ability to communicate professionally, both orally and written
  • Stellar service and interpersonal skills
  • Strong knowledge of multi-line phone system
  • Ability to work independently and as part of a team, identifying opportunities for improvement and assuming responsibility
  • Ability to work well under pressure in a fast-paced environment
  • Ability to exercise sound judgment and discretion
  • Ability to maintain a professional demeanor and polished professional appearance Have a positive attitude, punctual, and strive for excellence

Qualifications

  • High School diploma or GED required
  • 2 years of experience in a professional office preferred
  • 2 years of experience answering a multi-line phone system and routing calls swiftly and accurately 2 years of experience in an administrative support role preferred
  • Proven experience multi-tasking and prioritizing
  • Ability to handle requests and inquiries and respond within a timely manner
