Job Summary:
As a Masonry Construction Project Coordinator / Office Assistant, you will be an essential building block which plays a vital role in ensuring the smooth and efficient work flow of our Project Management, Estimating, and Accounting Departments by assisting in maintaining operating systems. Key Responsibilities:
1. Deliver comprehensive administrative support to the Owner, Office Manager, VP of Estimating, Superintendent, Project Coordinator and Project Managers.
2. Communicate with essential personnel to rectify problems and errors.
3. Assist in handling contracts, purchase orders, subcontracts, change orders, including start up documents for project LOI's such as obtaining COI, Business Licenses, etc. and submitting them to the GC. Maintain well-organized construction project files, accounts payable, and HR files.
4. Acquire essential documents for onboarding new subcontractors and suppliers and input pertinent data into the estimating system for efficient bid solicitation.
5. Continually update and maintain the accuracy of the estimating system.
6. Facilitate vendor solicitations for projects under consideration.
7. Gather and input quotes into the estimating system.
8. Collect, update, and analyze data and information, furnishing reports to Project Managers and Estimators.
9. Systematically organize and maintain project-specific documents.
10. Serve as a valuable resource for the department's staff and undertake any additional tasks as assigned.
11. Filing & keeping organized Accounts Payable & HR Vendor files.
Qualifications:
Education: High school graduate with some college or relevant technical school training is preferred.
Experience: Minimum 2 years Construction Industry experience whether within a Company or College a MUST !
