The Bowen Center is Hiring an Executive Assistant to CEO Near Warsaw, IN

Position Summary: As our Executive Assistant, you’ll play a pivotal role in our organization, providing top-notch administrative support, managing busy schedules, and handling a variety of tasks with finesse. Your knack for organization and attention to detail will be crucial as you navigate confidential information with the utmost professionalism.

Primary Duties And Responsibilities
  • Assure smooth operation of all components of the President/CEO's and executive team's office.
  • Manage the executive's calendar, including making appointments and prioritizing the most sensitive matters.
  • Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects and other documents in support of objectives for the organization.
  • Maintain a complete and current control cycle for the Board of Directors.
  • Responsible for scheduling, room set up, organizing catering, preparing meeting agendas and taking accurate minutes and distributing meeting minutes for the Board of Directors Meetings, Executive Meetings, Leadership Council, Med Staff Meetings, and other meetings as assigned.
  • Take minutes of confidential and other meetings and interviews as requested or assigned.
  • Welcome the Executive’s guests by greeting them, in person or on the phone; answering or directing inquiries.
  • Be responsive to emails, texts, and phone calls, with contact outside normal business hours.
  • Use discretion, confidentiality, and good judgment to handle executive level matters.
  • Provide technical assistance and maintain a complete and orderly filing system for all matters related The Joint Commission and other accrediting, credentialing, and licensing surveys.
  • Retain and maintain in proper order the Centerwide Policy and Procedure Manual, including annually checking to verify they are accurate and up to date.
Qualifications
  • Education: A Bachelor's degree in Business Administration or a relevant field is required.
  • Experience: At least five years in a business office setting, with a bonus if you’ve spent three years supporting executives.
