The Bush School, a K-12 progressive, independent school located in Seattle, WA, is in search of an individual to join our Facilities team as an Administrative Assistant. We are seeking a candidate who is able to support the school’s mission of diversity and inclusion and who has a background that demonstrates an understanding and appreciation of intercultural fluency. This position reports to the Director of Facilities and works closely with the school’s Facilities Department As a member of the Facilities Department team, this position is responsible for supporting day-to-day office needs, coordinating campus events, tracking all campus keys/access cards, assisting with school traffic needs, overseeing the school’s administration of annual parking permits and supporting the coordination of transportation needs for class and athletic events.
While other duties may be assigned, a qualified candidate will be able to execute on the key responsibilities and tasks listed below:
  • Provide support for Director of Facilities and Facilities Manager
  • Manage all typical office duties; correspondence and communication
  • Support the Events and Operations Coordinator as needed
  • Manage and support the scheduling of school transportation requests
  • Budget: responsible for department invoices (e.g. tracking, reconciling, filing)
  • Maintain and manage office filing system and archived files
  • Respond to the Facilities Department phone calls, emails, and school event requests
  • Manage and oversee school parking permit process; issue school parking permits for registered drivers/vehicles
  • Provide support to the school’s Transportation Program Manager, as needed
  • Assign and track all building and vehicle keys, building access cards, and pin codes
  • Monitor HVAC, lighting, and access controls, and Building Management System (BMS)
  • Order office supplies and equipment
  • Monitor and utilize computerized maintenance management system (MMS)
  • Monitor incoming Maintenance and Preventative Maintenance Request Forms (PMRF’s)
  • Maintain and update two-way radios inventory and programing
  • Administer and document emergency drills and drill protocol
  • Document, organize and file building renovation and improvement plans
  • Ability to learn new systems and software, with the expertise to improve existing systems
  • Other projects, as assigned by Director of Facilities
Experience and Professional Competencies:
  • High School Diploma or general education degree (GED) required
  • Associate or bachelor’s degree in business or related field preferred
  • Professional experience as an administrative assistant for two or more years is required
  • Have experience working with students in a school setting - preferred
  • Have completed training or advanced coursework in business or related field - preferred

  • Effective collaboration skills and problem solving skills in working with the Facilities Department team, faculty, staff and vendors
  • Be highly proficient with Microsoft Office 365, Google Apps and Windows and Mac OS, as well as an interest in learning new software
Additional Requirements:
  • Have a current Adult and Children CPR, First Aid and AED Certification (or receive one soon after hire date).
  • Meet the school’s standards when completing two separate background screenings.
Compensation/Benefit Information for this position:
  • Compensation Range (Hourly Rate of Pay): $68,902 (based on experience)
