The Bushnell is Hiring a Coordinator, Internal Events Near Hartford, CT

Broad FunctionSupports administrative processes related to internal and external events held in public rental spaces at The Bushnell. Functions as Event Coordinator overseeing internal events, including contract administrative duties, to ensure excellent customer service, professionalism, timely response to all communications, consistent and accurate administration of procedures and policies, sound financial management, and highly detailed event planning.
Duties And Responsibilities
  • Cultivates strong relationships with internal and external clients
  • Supports Events Manager by coordinating, scheduling, and participating in facility tours with prospective clients.
  • Prepares contracts for internal events in Tripleseat event management system and administers contractual aspects in accordance with established procedures, policies, and timelines.
  • As assigned by the Events Manager, communicates and prepares related paperwork for all event activities utilizing available technology, established systems, reports, and diagrams.
  • Utilizes Artifax software to schedule space use, populate event details, and communicate internal event details through Event Outlines.
  • Assists Events Manager in scheduling Event Services support staff and related services.
  • Attends and actively participates in regularly scheduled management, department, all staff, and work group meetings.
  • Functions as event “Owner” and/or Event Coordinator overseeing internal events. In a back-up capacity and as assigned by Events Manager, serves as Event Coordinator for external events.
  • Coordinates internal resources including building services (RM Bradley), stagehands, IT, cleaning crews, COVID compliance, digital media, and security.
  • Maintains Horace Bushnell Suite dinner calendar in Artifax.
  • Provides support for enhancements and Event Services programmed activities.
  • Assists in maintaining Event Services equipment, supplies, and all related storage areas.
  • Supports Events Manager in coordinating and communicating Valet calendar.
  • Performs all other appropriate duties and responsibilities, when necessary, as assigned by Events Manager
Education And/or ExperienceCollege or technical degree preferred and 1-3 years hospitality related experience and/or training, or equivalent combination of education and experience required.
Prior experience administering hospitality contracts and phone sales a plus.
Demonstrated work history of independently administering and coordinating multiple complex and detail-oriented projects.
Proven skills, knowledge, and ability to utilize available technology.
Skills RequiredHighly motivated self-starter possessing the ability to simultaneously manage multiple complex and detailed contracts while adhering to constant deadlines.
Excellent written, verbal and interpersonal communication skills.
Must have great attention to details. Proven skills, knowledge, and ability to utilize available technology.
SituationalPossess (or willing to be trained in) CPR, AED and First Aid, Safe Serve Certification.
