Overview:

Working with the Assistant Director of Events, the Student Life and Events Coordinator will support the logistical planning of meetings, conferences, and events held at or by the law school for both internal and outside groups, including faculty and student organizations. Event support includes staffing events as needed and includes some evenings and weekends with flex time. The incumbent will be responsible for monitoring Student Life & Special Events and student organization budgets, processing invoices, credit card reconciliation, reimbursement forms and contracts.

The projected salary or hourly pay range for this position which represents the full range of anticipated compensation is: Up to 30.22 hourly.

Responsibilities:
  • Reporting directly to the Assistant Dean for Student Affairs and Dean of Students for Upper Division, the Coordinator will support the Assistant Director of Events with the logistics for law school events, both in-person and online, overseen by the Student Affairs Division, including orientation and commencement, as well as law school conferences, programs, and student events.
  • Assist with managing Law School and University event management tools, including but not limited to Zoom, 25Live, the Nest, and Google Suite, as well as event marketing materials.
  • Process and submit reimbursements, deposits, fund transfers, purchase requisitions, and travel expenses.
  • Review and submit event contracts to Procurement Services for approval. Review and code transactions on the Universitys procurement card system; upload and post receipts for each transaction.
  • Maintain inventory of office supplies and events equipment and supplies.
  • Serve as the primary greeter for the Office of Student Life and Special Events, answering the main phone line, retrieving mail, and providing other general administrative support for the Student Affairs Division.
  • Support the following staff with projects and administrative tasks as needed: Assistant Dean for Student Affairs and Dean of Students for Upper Division and the Assistant Director of Events.
  • Assist the Assistant Dean for Student Affairs with various tasks and projects for student organizations, co-curriculars, and the student bar association.
  • Assist with processing room and event requests for law school faculty, students, and staff. Handle routine food/drink orders, including for student organizations, faculty, and staff.
  • Assist with processing the annual registration of student organizations; manage organization files, student listserv, and bulletin boards.
Qualifications:

Bachelors Degree, preferred or equivalent work experience. One to two (1-2) years of office experience preferred, some of which can be as a work-study or student assistant experience, preferably in student/academic environment; experience/aptitude with PeopleSoft Financials and Cardinal Station preferred; event management experience preferred. Must be able to keep deadlines. Strong organization skills and knowledge of Google products are a plus. Must be able to manage Zoom programs or learn how to use Zoom for hybrid and online events.

Computer skills (Google, Word, Excel, PowerPoint, Social Media, and Zoom); Excellent communication and interpersonal skills, be service and student-oriented, and have the ability to handle simultaneous tasks effectively. Strong interpersonal and communication skills; ability to handle multiple tasks simultaneously and handle heavy workloads while meeting deadlines. Must be service and student-oriented.
