The Cleveland Orchestra is Hiring an Administrative Assistant Near Cleveland, OH

The Cleveland Orchestra (TCO) is seeking an Administrative Assistant, who will be responsible for supporting and assisting both the VP, Orchestra & Production and the VP, Artistic Planning. Assistance is provided in a confidential, professional, and sensitive manner by interacting with staff, orchestra members, guest artists, and conductors; scheduling and organizing their calendars and events; and managing various internal and external correspondence and communications.
Responsibilities include the following:
  • Manage correspondence and telephone inquiries, appropriately responding on behalf of the Orchestra and Artistic VP’s. Draft written responses or replies by phone or e-mail when necessary. Respond to regularly occurring requests for information.
  • Establish, develop, maintain, and update filing system, both electronic and hard copy files and records. Retrieve information from files when needed.
  • Prioritize issues that require the attention of the VP’s and develop and administer an effective follow-up system.
  • Schedule all appointments and department meetings and maintain a workable calendar to facilitate good time management.
  • Assist in formatting, executing and tracking musician and guest artist contracts while keeping files (digital and hard copy) up to date.
  • Manage all travel arrangements (domestic & international) and expense reports.
  • Process credit card statements with proper receipt management and account coding.
  • Provide additional assistance to the Office of the CEO when needed, such as logistical support for staff meetings, including room reservation/set-up and catering, and preparation materials for Board of Trustee meetings.
  • Provide back-up assistance to the President & CEO when needed.
  • Assist with VIP ticket requests.
  • Interact professionally with Orchestra Members, Guest Artists and Conductors; act as a resource for general information as needed.
  • Keep apprised of major events and information to keep the Vice Presidents of Orchestra & Production and Artistic Planning informed of important issues.
  • Work independently and/or within a team on special nonrecurring and ongoing projects
  • Act as project manager for special projects which may include planning and coordinating multiple presentations, disseminating information, etc.
  • Serve as the liaison between the Operations and Artistic Departments and the rest of the institution, readily available to answer questions and act as a source of information.
The successful candidate will meet the following qualifications:
  • Minimum of 3 years of senior or C-level administrative experience
  • Tech skills including advanced Microsoft Office Suite proficiency and knowledge of databases similar to Tessitura and ArtsVision
  • Superior interpersonal and communication skills
  • Outstanding organizational skills, attention to detail
  • Ability to maintain professional demeanor and composure at all times, under stressful conditions.
  • Ability to handle complex issues with minimal supervision.
  • Demonstrated independent, mature judgment
  • Ability to maintain confidentiality
  • Ability to consistently maintain a professional image and demeanor
  • Ability to successfully prioritize and manage multiple projects and deadlines
  • Occasional travel to local and regional meetings and events
  • Must be able to occasionally work evening and weekend hours
