The Cleveland Orchestra is Hiring a Marketing Administrative Assistant Near Cleveland, OH

The Cleveland Orchestra (TCO) is seeking a Marketing Administrative Assistant, who will support and assist both the Chief Brand Officer and the Marketing department. The Assistant will focus on scheduling and organizing calendars and events, assisting with travel arrangements, managing the department accounting, complimentary ticket distribution, managing various department communications, development of slide decks, and the storage and display of printed materials.
You will be involved with the following:
  • Coordinate bi-weekly and other department meetings including scheduling, assistance with agenda preparation, reserving location, etc. Maintain a workable calendar to facilitate good time management.
  • Coordinate department accounting including the processing of department invoices, credit card reconciliation, and expense reporting for the department.
  • Assist with correspondence and presentation materials, including pre-concert slide decks for Blossom and Severance movie concerts.
  • Coordinate institutional complimentary ticket distribution.
  • Assist Director of Project Marketing with trade agreements.
  • Assist in proofing marketing and communications materials.
  • Keep display racks and signage stocked and up to date. Manage in-house copies/samples of printed materials. Manage deliveries and marketing storage area in basement.
  • Update and maintain filing system, both electronic and hard copy files and records. Retrieve information from files when needed.
  • Serve as the liaison between the Marketing Department and the rest of the institution, readily available to answer questions and act as a source of information.
  • Manage travel arrangements, as needed.
  • Plan and manage events, hosted by or for the department.
The successful candidate will meet the following qualifications:
  • Minimum of 3 years of administrative experience
  • Computer skills including advanced Microsoft Office skills and proficiency with various databases
  • Strong interpersonal and communication skills
  • Outstanding organizational skills, attention to detail
  • Ability to handle complex issues with minimal supervision.
  • Demonstrated independent, mature judgment
  • Ability to maintain confidentiality
  • Ability to consistently maintain a professional image and demeanor
  • Ability to successfully prioritize multiple projects and deadlines
  • Must be able to very occasionally work evening or weekend hours
