Description
The Operations Manager for Early Learning provides the day to day management of the operational elements for the early learning program. This role is a full-time, exempt (salaried) position.
Responsibilities (include but not limited to):
  • Adheres to operational procedures to assure quality of service.
  • Create and/or maintain systems to track and execute upon EEC licensing requirements across designated program site(s).
  • Conduct site observations daily to ensure compliance and develop efficient systems for maintaining EEC and company compliance.
  • Work to ensure full enrollment and work with the program support team (at the Business Office) with recruitment efforts for each program managed.
  • Complete enrollment of children, support families with completion of necessary file documentation, provide educators with accurate information regarding children.
  • Maintain the Early Learning Ventures database for children files.
  • Create and maintain physical child and staff files.
  • Maintain a system for tracking of expired documents for child and staff files.
  • Maintain child allergy lists.
  • Ensure that proper medication forms are completed by parents, medical professionals.
  • Ensure that educators have completed and updated medications and forms in their classrooms.
  • Sustain positive collaborations with Program Managers/Directors, other Operations Managers, Office Managers and personnel at the Business Office.
  • Ensure completion of all required reporting, billing, and record keeping for assigned early learning program(s), including staff and child files, allergy lists, food counts.
  • Greet visitors, handle phone calls, manage mailings, organize files, and maintain supplies.
  • Support with maintaining inventory and order office supplies, food for children, and program materials.
  • Enter monthly child attendance into a database.
  • Maintain transportation schedules for children.
  • Complete weekly meal orders for children to the community partner.
  • File documents.
  • Complete a yearly immunization survey.
  • Collaborate with the Center Team (Program Manager, Office Managers, Parent Liaison) regarding center activities and collaborative tasks (licensing, family events, company wide events or tasks).
  • All other duties as assigned by your supervisor.
Qualifications
  • Department of Early Education and Care Director I or II certified.
  • Knowledge of EEC regulations and licensing requirements.
  • Bachelor's degree or 3-5 years of relevant work experience preferred.
  • Experience working with children.
  • Experience collaborating with and/or managing other adults, both directly and indirectly.
  • Exceptional organizational skills and ability to manage time effectively.
  • Ability to prioritize and take initiative.
  • Ability to communicate effectively orally and in writing.
  • Strong information technology skills and demonstrated expertise in a variety of word processing, desktop publishing, graphics, spreadsheet, and database software. These may include but are not limited to: Microsoft Office (Word, Excel, Outlook) Google Drive, Google Suite programs, Adobe and others.
  • An eagerness to learn new skills and take on new projects.
Requirements
  • Must possess the qualifications required for their positions in accordance with EEC regulations.
  • Must complete a Background Records Check and Fingerprint Scan in accordance with regulations set forth by the Department of Early Education and Care prior to employment.
  • Evidence of physical examination within one year prior to employment.
  • Evidence of immunizations against Measles, Mumps and Rubella; and
  • Maintain current infant/child CPR and First Aid Certification.
