Golden Dragon Roofing is seeking a dedicated and organized Office Administrator to join our team. The ideal candidate will be responsible for managing various administrative tasks to ensure the smooth operation of our office. Your role will involve CRM management, Quickbooks data entry and maintenance, assisting with payroll processing, communicating with suppliers, customers, vendors and insurance companies as well as supporting our team with efficient administrative support.

Responsibilities include but are not limited to:
  • Administrative Support: Perform general administrative tasks such as answering phone calls, responding to emails, and managing correspondence.
  • Customer Management: Maintain communication with the customer from start to finish, create customer invoices and keep accurate CRM records.
  • Office Management: Maintain office supplies and equipment inventory, ensuring everything is well-stocked and operational.
  • Payroll Assistance: Assist with payroll processing and employee timekeeping, ensuring accuracy and timely submissions.
  • Document Preparation: Prepare contracts and distribute memos, letters, and other documents as required.
  • Scheduling: Organize and schedule meetings, appointments, and travel arrangements for team members.
  • File Management: Create and maintain filing systems, both physical and digital, for easy access and retrieval of documents.
  • Financial Support: Assist in budgeting and financial record-keeping, ensuring accuracy and compliance.
  • Database Management: Scan documents and upload them to the database, maintaining organized records.
  • Check Handling: Handle checks and deposits, ensuring proper documentation and processing. Assist with AR collections.
  • Material Ordering: Order materials from the suppliers and maintain inventory levels
  • New Employee Onboarding: Ensure the proper paperwork and system access has been given to all new team members.
  • Spreadsheet Management: Work with spreadsheets and Excel to manage data effectively and accurately.
The ideal candidate should possess:
  • QuickBooks Proficiency: Proficient in using QuickBooks for financial management and record-keeping.
  • Office Experience: Proven experience as an office clerk or administrator, demonstrating strong administrative skills.
  • Communication Skills: Excellent communication skills, both written and verbal, with a professional demeanor.
  • Organizational Skills: Strong organizational skills with the ability to multitask and prioritize tasks effectively.
  • Phone Etiquette: Knowledge of phone etiquette and professional communication practices.
  • Payroll Processing: Experience with payroll processing is preferred.
  • Budgeting Knowledge: Familiarity with budgeting and basic clerical duties.
Experience:
  • Microsoft Office: 1 year (Preferred)
  • Quickbooks: 1 Years
  • CRM Experience (Preferred)
  • Administrative Experience: 1 year (Preferred)
