Job Summary:

We are seeking a highly motivated and detail-oriented Customer Service Representative to join our dynamic team at Custom Machine in Woburn MA. The candidate will be responsible for handling customer inquiries, providing timely updates on orders, coordinating with outside services, and assisting with shop scheduling adjustments. This role requires excellent communication skills, strong organizational abilities, and a customer-focused attitude.

Key Responsibilities:

• Customer Communication:
• Respond to customer calls and emails promptly and professionally.
• Provide accurate and timely updates on order status.
• Address customer inquiries and resolve issues effectively.
• Order Management:
• Track and monitor customer orders from receipt to delivery.
• Coordinate with production and shipping departments to ensure on-time delivery.
• Follow up with outside services (e.g., suppliers, shippers) to ensure order accuracy and timeliness.
• Administrative Support:
• Forward customer requests and feedback to appropriate departments for action.
• Maintain accurate and up-to-date customer records and order logs.
• Prepare and distribute necessary documentation and reports.
• Shop Schedule Assistance:
• Assist in adjusting the shop schedule based on order priorities and changes.
• Communicate schedule changes to relevant departments and personnel.
• Monitor production timelines and work with the team to minimize delays.
• Additional Duties:
• Perform assorted administrative tasks as needed.
• Support the team with special projects and other duties as assigned.

Qualifications:

• High school diploma or equivalent; additional education or training in a related field is a plus.
• Proven experience in customer service, preferably in a manufacturing or machine shop environment.
• Strong communication skills, both verbal and written.
• Excellent organizational and multitasking abilities.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
• Ability to work independently and as part of a team.
• Detail-oriented with a focus on accuracy and quality.
• Ability to handle stressful situations and remain calm under pressure.

Preferred Qualifications:

• Familiarity with machine shop operations and terminology.
• Experience with ERP or CRM systems.
• Previous administrative experience in a production or manufacturing setting.
