JOB TITLE: Scheduling Coordinator
REPORTS TO: Director of Assisted Living Services
SALARY CLASSIFICATION:Non Exempt
General Description:
This position is responsible for scheduling of the entire ALSA CNA staff. Manages call outs, time off requests, schedule changes, overtime usage, and on call after hours. Resolves scheduling conflict issues to reach a positive outcome. Will be responsible for Long Term Care insurance held by the ALSA residents.
Responsible for scheduling consult appointments, transportation, and staff when needed for ALSA residents.
Essential Job Functions:
1.Assumes responsibility for the scheduling of CNA’s on all shifts through the development, preparation and maintenance of staffing schedules that meet the needs of the facility and state requirements.
2.Enters schedule changes to master schedule.
3.Approves time off and extra shift requests with approval of the ALSA Director.
4.Effectively communicates with ALSA Director to determine staffing needs. Assigns personnel and makes adjustments to staffing patterns to provide safe and equitable coverage.
5. Ensures all schedules are posted per time line by holding all staff accountable for the submission of time requests, changes, and draft schedules in a timely manner.
6.Records all information in a clear and organized method.
7Arranges consults appointments in a timely manner, arranges transportation, and schedules an aide when needed to accompany resident as indicated by Nurse. Communicates all scheduled appointments to residents/families.
8.Maintains established departmental policies, procedures and objectives. Demonstrates flexibility in work hours to meet departmental needs.
9.Participates in the orientation of all nursing personnel to the scheduling practices and guidelines.
10.Enhances professional growth and development through participation in educational programs, current literature and workshops.
11. Monitors staff overtime and minimizes usage.
13.Performs any other job related duties and responsibilities that may become necessary as directed by Supervisor.
14. Participates in on call coverage.
15. Covers billing when needed.

Qualifications:
1.High School graduate, or GED.
2.Experience in customer service related field.
3. Experience in staffing schedules.

Key Accountabilities:
1.Assumes responsibility for scheduling all ALSA CNA s, providing for adequate, safe staffing levels and timely postings.
2.Complies with facility policy as it relates to call outs, vacation, time off requests, over time, and pay differences such as shift and quarterly bonuses, shift differentials.
3.Documents accurately all payroll information for processing ALSA employees paychecks.
4. Assists in clerical duties within the dept such as filings, mailings, copying etc.
5. Arranges consults appointments in a timely manner, arranges transportation, and schedules an aide when needed to accompany resident as indicated by an ALSA Nurse. Communicates all scheduled appointments to appropriate person in a timely manner.
