Job Description: Chief Homestead Estate Manager / Chief of Staff

We are seeking a dynamic and experienced individual to join our team as a Chief Homestead Estate Manager (CHEM), also known as a Chief of Staff. This role encompasses a variety of functions including bookkeeping, personal assistance, household management, and personal finance management. This position offers a Monday to Friday schedule from 9 am to 5 pm with no travel required. The salary is DOE, and includes a comprehensive insurance package. As the CHEM, you will handle an array of responsibilities for our high-net-worth clients, providing top-tier estate and lifestyle management. You will also play a key role in shaping the development of a new profit center known as “Family Office Services.”

Key Responsibilities:

Lifestyle Enhancements

  • Bookkeeping: Maintain accurate financial records and interact with government entities such as the IRS and the Department of the Treasury.
  • Financial Control: Create monthly budgets and reports using finance apps and software tools.
  • Bill Management: Handle bill negotiations and payment arrangements.
  • Payroll Management: Oversee payroll for domestic help and recruit necessary household staff.
  • Cash Flow Management: Manage and forecast cash flow, setting income targets and monitoring spending.
  • Travel Management: Manage travel arrangements, including passports, visas, and tickets.
  • Concierge Services: Support the personal interests and wellness of the CEO and family, including procurement of necessary items.
  • Communications Management: Handle and process incoming mail, email, and phone communications, ensuring prompt responses.
  • Procurement and Errands: Handle shopping and errands such as managing interactions with banks and other agencies.

Business Enhancements

  • Agile and Scrum Mastery: Utilize Agile methods and workflows, including running rituals with the CEO and reviewing and organizing personal backlogs.
  • Business Projects: Contribute to the broader business goals of the parent organization.

Qualifications:

  • Proven experience in estate management or similar roles.
  • Strong financial acumen and proficiency in bookkeeping and financial control.
  • Excellent organizational and communication skills.
  • Familiarity with Agile and Scrum methodologies, with a willingness to pursue certification.
  • Ability to manage multiple projects and tasks simultaneously.

  • Strong interpersonal and negotiation skills.
