Families Forward, member of The Fedcap Group, is looking for an organized, mission-driven human services professional to manage the operations of Placement Services, an integral component of the program model at the South Portland, Maine opportunity center location.

Primary Roles and Responsibilities: The Placement Specialist Manager is responsible for leading all aspects of day-to-day service delivery for the Placement Services Team. This person will establish and maintain key employer relationships within priority growth sectors; through local integration, or subject/sector specific engagement approaches locally, regionally and statewide. The Placement Specialist Manager will support the development and integration of Fedcap as a delivery focused and ethically driven recruitment partners, thus creating customer outcomes through attractive and compelling employer offerings. This activity provides as many work-focused opportunities for our participants as possible. The Placement Specialist Manager will develop the presence of Fedcap as a key stakeholder and delivery organization for enabling wider support to achieve the best results for customers and employers alike and a sustained presence for our organisation. In addition, the Placement Specialist Manager will provide additional Placement Services leadership across all operations to support the development of an employer-led culture and delivery model. When business needs require, this person acts a back up to Director of Partner Engagement. 

Essential Job Functions:

  • Acts as a member of the Maine Leadership team. 
  • Collaborates with the Partner Engagement Director to manage a high performing, data driven team that is equally committed to the needs of individuals served and to achieving exceptional outcomes.
  • Responsible for the management and delineation of respective responsibilities to a Placement Specialist Manager 
  • Upholds and ensures that all employees within the Placement Services team are fully informed of agency policies and expectations.
  • Runs reports in Fedcap CARES and uses data to plan daily and weekly tasks and create longer term strategies for placement achievement.
  • Analyzes data and metrics for strengths and areas for improvement in performance and efficiency while identifying priority areas for staff and their assigned activities.
  • Establishes relationships at both a local and regional level with employers and industry experts to integrate Fedcap Families Forward as a key charitable and ethical delivery organization.
  • Create sector-focused employer engagement and develop sector-focused solutions across key priority sectors. 
  • Develop key account portfolio by leading on strategic employer and stakeholder engagement across the Families Foward area for priority sectors.
  • Develop a compelling, attractive, tailored offer to an employer that meet their recruitment needs, increases opportunities for our participants and promoting our brand as a provider of choice.
  • Monitor performance against key performance indicators (KPIs) working with the operations teams to ensure targets are met and our employer offer is consistent across sectors.
  • Drive growth of our organization through the pro-active relationship building activity, the development of employer accounts and opportunities to provide services to employers.
  • Conducts monthly case reviews to ensure compliance, quality and adherence to standards
  • Responsible for the hiring, orientation and training of employees.
  • Communicates effectively and transparently to ensure staff are aware of policy, program and agency changes.
  • Recognizes and escalates concerns that may compromise operations and contractual obligations.
  • Coaches and supports staff in developing the skill sets and knowledge required to excel in their jobs.
  • Provides regularly scheduled supervision for direct reports and conducts a staff meeting at least once a month.
  • Evaluates staff performance and identifies needed training and professional growth opportunities.
  • Investigates and provides follow up and mediation for program participant and staff concerns.
  • Manages staffing levels to ensure coverage and business needs are met.
  • Reviews and approves mileage and reimbursement requests to ensure their accuracy and adherence to agency policies.
  • Represents Fedcap and Families Forward with all stakeholders and in the community in a positive and professional manner

Education and Experience:

  • Bachelor’s degree or higher education and/or equivalent experience.
  • 3 years of supervision or relevant management experience.
  • Prior non-profit experience is strongly preferred.
  • Demonstrated track record for building and developing community partnerships.
  • Valid driver’s license required.

 Knowledge, Skills and Abilities:

  • Ability to generate reports, analyze data and assess trends to recommend opportunities for improved service.
  • Actively seeks out learning opportunities to remain current on industry trends.
  • Ability to manage employee relations, performance and general staff inquiries.
  • Possesses the ability to effectively lead and build productive working relationships with staff.
  • Collaborates with the Director of Partner Engagement to identify training needs for employee development.
  • Ability to interpret and apply public policy.

Supervisory Responsibility: This position manages staff and is responsible for the performance management and hiring of the employees within that department.

Work Environment: This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.

Position Type/Expected Hours of Work/ Travel:

  • This is a full-time position, and hours of work and days are typically Monday through Friday, 8:00 a.m. to 5 p.m. but will be determined by your supervisor. 
  • Occasional evening and weekend work may be required as job duties demand.
  • This position requires 30% travel. Travel demands are dependent on business needs and may be subject to change.
