The Fire Protection Company: L. Pugh and Associate is Hiring a Service Administrator Near Pensacola, FL

POSITION SUMMARY: The Service Admin is the local service administrative leader of our branch. The position works hand-in-hand with the service operation team to manage customer service, local service and operations scheduling, service and sales support, customer profitability and reporting, billing, A/R & A/P, inventory control, shipping and receiving, and regulatory reporting. In addition, the Service Admin works with the Office Manager to insure weekly payroll processing, and collections of outstanding customer balances. This role is critical to helping manage the real-time operations to achieve customer satisfaction, productivity, schedule adherence and economic goals. This is a unique opportunity as it combines operations, human resources, and light accounting. This is a full time, salaried, exempt position and reports to the Service Manager.

RESPONSIBILITIES:

1. Oversees daily activities of Service support staff, including new customer and project set-up, billing, profitability reporting, and customer / regulatory reporting.

2. Coordinates completion of all billing, accounts payable, and job costing tasks and liaises with Office Manager to ensure timely and accurate month-end close.

3. Works closely with Service Manager to identify staffing needs, allocate resources, and identify / resolve problems and unusual / significant matters.

4. Reviews job costs with Service Manager and assists in investigating reasons for cost overruns.

5. Works closely with customers to ensure seamless delivery of service, contract fulfillment, billing, and receipt of payment.

6. Schedule inspections and service work as needed.

7. Upload all reports to 3rd party reporting systems once work is completed.

8. Maintains a favorable working relationship with all company employees to promote a cooperative and harmonious working climate to maximize employee morale, productivity, and efficiency/effectiveness.

9. Projects a favorable image of the company to foster and enhance public recognition.

10. Performs all duties and responsibilities in a timely and effective manner in accordance with established company policies to achieve the overall objectives of this position.

11. Performs other duties and responsibilities as required or requested.

12. Drive digitization initiative to streamline branch operations.

REQUIREMENTS:

1. 5 years of management experience in an office or operational setting; experience in the Fire Protection industry a big plus.

2. Experience in a commercial construction and services environment or knowledge of percentage of completion accounting preferred.

3. Experience with scheduling, payroll, and / or bookkeeping preferred.

4. Excellent computer skills, including Microsoft Office Suite, Paychex, and ERP systems. Knowledge of Viewpoint Vista a plus.

5. Public and private bid and contract administration preferred.

6. Ability to work well independently, take initiative, and multi-task.

7. Professional attitude demonstrating outstanding character in the workplace.
