The German Marshall Fund of the United States is Hiring a Program Coordinator, Leadership Programs Near Washington, WA

Job Summary:

The Program Coordinator, Leadership Programs, is responsible for maintaining and analyzing GMF’s alumni database and supporting the alumni engagement strategy. This includes routine contact research, data reporting, donor identification, targeted outreach, communications, and events support. This position requires strong organizational skills and the ability to derive actionable insights from data analysis. It provides an opportunity for personal growth in the development of database, fundraising, and events management. This position reports to the Sr. Program Coordinator of Leadership Programs.

Essential Duties/Responsibilities:

  • Manage the alumni database and maintain accurate alumni records
  • Ensure data integrity and accuracy through regular database audits

  • Work with Sr. Program Coordinator and web applications team to externalize alumni database for alumni audiences

  • Generate reports on alumni demographics

  • Analyze alumni data to identify key trends and opportunities for engagement

  • Work with Sr. Program Coordinator and development team to identify prospective donors within alumni network

  • Collaborate with development team to support targeted outreach campaigns and fundraising efforts

  • Identify and recommend alumni for event invitations and panels

  • Provide support across workstreams in all projects and communication designed to engage alumni audiences

  • Design and facilitate regular communication between alumni and GMF through newsletters, social media engagement, and other communications channels

  • Develop and produce content for alumni newsletters and social media

  • Manage alumni groups across various social media channels

  • Work with Sr. Program Coordinator to prepare and execute alumni events, projects, and initiatives

  • Provide quality customer service to both internal and external partners

  • Develop, design and arrange for publicity and promotional materials for alumni functions and/or services, in assigned area of responsibility

  • Plan, coordinate and schedule all logistical details and makes necessary arrangements for programs and/or services in assigned area of responsibility

  • Perform necessary administrative functions such as record keeping, reports, correspondence, program budget oversight and invoice payments

  • Evaluate and monitor effectiveness of programs/services and identifies problems, recommend improvements and implement changes

  • Programmatic support for other leadership programs initiatives and travel as needed

Knowledge and Skills Needed:

  • A minimum of 2 years’ experience working in a customer service office environment

  • Data entry experience

  • Intermediate to advanced skills in the database system or aptitude to learn database management, reporting, and tracking

  • Intermediate to advanced skills for Microsoft Office

  • Creative, self-directed, and comfortable proposing new ideas

  • Strong verbal and written communication skills

  • Ability to prioritize multiple demands in a fast-paced work environment

  • Intrinsically motivated and good at time management

  • Ability to work well with others and positive attitude

  • Exceptional organizational skills and attention to detail

  • Experience engaging in an alumni community considered a plus

  • Ability to analyze effectiveness of events and adjust when necessary, fine-tuning on a regular basis

  • Experience working with people from different cultural backgrounds

  • Comfortable interacting with individuals at all levels, from trainee to president

  • Experience with various computer software applications, including Canva, Adobe Indesign, Zoom, etc.

  • Experience in editing copy for marketing and communications publications considered a plus

  • Event logistics experience

  • An understanding of the importance of diversity, inclusion, and equity

  • An interest in transatlantic relations and leadership development programs

Education: Bachelor’s degree in international relations, political science, or a related field.

Salary: $43,240 - $54,050
