Title: Program Assistant, Institute for Constitutional Government

Reports to: Vice President, Institute for Constitutional Government

Job Summary: The Program Assistant is responsible for all administrative, program, and clerical support of the Institute for Constitutional Government. This includes (1) managing the Vice President’s schedule, organizing travel, and handling expense reports; (2) assisting with the planning and execution of the Institute’s programs and events; (3) and ensuring that the entire office is well organized, adequately resourced, and prepared to carry out its daily tasks.


Job Duties:

  • Perform all scheduling, keeping the Vice President’s calendar, responding to invitations, tracking expenses, managing correspondence, and making travel arrangements.
  • Administrative and general support for the Institute, including sorting mail, answering phones, filing, and maintaining contact lists and statistics.
  • Manage scheduling, correspondence, weekly reports, and special projects for the Vice President.
  • Assist the Vice President by tracking and anticipating deadlines and requests from other departments.
  • Develop and provide appropriate briefing materials in advance of internal and external meetings and events.
  • Coordinate with the events team in planning and executing sponsored events, regular working groups, and conferences, including arranging venues, invitations, basic marketing, mailing lists, other related details, and day-of staffing.
  • Track budget and expenditures and manage invoices, payments, subscriptions and vendor communications.
  • Manage the hiring process for interns each semester for the Simon and Meese Centers, onboard and train new interns on center policies and procedures and manage intern development and evaluations.
  • Perform research tasks as assigned by Vice President.


Qualifications
:

Education: Bachelor’s Degree

Experience: 0 - 2 years of relevant experience

Communication: Strong written and verbal communication skills

Technology: Microsoft Suite; database experience helpful

  • Understand and support the Heritage mission and vision for America, and the department’s goals and objectives.
  • Promote policies consistent with Heritage’s priorities; speak with one voice.
  • Highly organized with the ability to maintain careful attention to detail, prioritize and manage multiple projects simultaneously, and follow through in a timely manner.
  • Ability to take direction and to work with others in a team environment.
  • Basic knowledge of and interest in American politics and conservatism.
  • Discretion and ability to maintain confidentiality.


Benefits and Salary:

The Heritage Foundation offers a highly competitive benefits package that includes, but is not limited to, best-in-class health care, vision, and dental insurance, employer-sponsored retirement funding, “take what you need” PTO and sick leave, 14 weeks of paid leave for new moms and 6 weeks of paid leave for new dads, among other programs.

The salary range for this role is $50,000 - $55,000 annually. This range is a good faith estimate, and the final salary offered to a selected candidate depends on a variety of factors including, but not limited to, the candidate’s experience, education, and other qualifications; internal and external market pay for comparable jobs; and level of hire based on aforementioned qualifications.
