The Hollister Group is Hiring an Administrative Assistant Near Beach, FL

Administrative Assistant

Our client, an insurance company, is looking to add an Administrative Assistant to their West Palm Beach, Florida office on a permanent basis. The ideal candidate for this role will need to have 2 years of administrative experience, strong calendar management skills, able to coordinate travel arrangements, and handle the day-to-day administrative duties. Candidate must be reliable, confident, motivated, self-starter with excellent organizational and communication skills and can work well under pressure.

Compensation: 70K-75K

*Potential offers vary based on experience level and qualifications.

Applicants must be local to West Palm Beach, Florida, as this role is hybrid with the expectation of working in the office a few days a week. If you are interested in this position and would like to be considered, please submit a copy of your resume today!

Responsibilities:

  • Provides administrative support to the Managing Director
  • Responsible for scheduling and calendar management
  • Manages travel arrangements
  • Responsible for meeting preparation, including lunch reservations, marketing material preparation, and confirming attendees
  • Takes meeting minutes and transcribes/distributes as needed
  • Expense reporting
  • Facilities professional communication on behalf of the Manager Director
  • Answers and screens a high volume of phone calls
  • Understands priorities of the organization, adjusting accordingly
  • Supports the maintenance of the Salesforce CRM
  • Runs reports and gathers research for reports
  • Maintains vendor and industry relationships
  • Other responsibilities as required

Qualifications:

  • Bachelor's degree
  • 2 years of administrative office experience
  • Strong Microsoft Office Suite experience and a technical acumen; experience with Salesforce, Concur, or ServiceNow a plus
  • Ability to work effectively individually and on a team
  • Strong organization and time management skills
  • Desire to work in a fast-paced environment
  • Excellent verbal and written communication
  • Strong attention to details
