Reports to : COO

Location : Support Center in Medford, OR

We are looking for an energetic addition to our team at The Human Bean corporate headquarters based in Medford, Oregon.This individual will be the face of our office, serve as the first point of contact for customers and franchise inquiries, and will be tasked with creating a welcoming environment for our team.

This is a position with a huge opportunity for growth, both in the role itself and in the future. We are growing quickly, with well over 300 locations open and in development across 28 states.

The Office Administrator is responsible for providing clerical and administrative tasks for our Support Center. Main duties include welcoming and directing visitors, answering phones, coordinating company activities and meetings, and more.

They must provide professional, courteous, and exceptional service to all customers and franchise partners. Since they will be the first point of contact, the ideal candidate will have a friendly, upbeat demeanor, strong organizational skills, and an eagerness to assist customers.

Responsibilities

Support Center Customer Service Support

  • Primary lead on answering incoming calls and directing as needed.
  • Greet and welcome guests to the support center. Notify relevant employees when visitors arrive.
  • Monitor visitor access and maintain security awareness.
  • Open and sort all incoming mail.
  • Managing meeting room availability.
  • Deliver any packages to employees.
  • Handling queries and complaints via phone, email, and general correspondence.
  • Coordinate company activities.
  • Manage franchise portal and phone system changes.
  • Manage support center meeting agendas and text messaging portal.
  • Process donations according to the donation policy.
  • Maintain a tidy reception area.
  • Control inventory relevant to the reception area.
  • Lead internal presentations and training sessions to promote understanding and usage of new programs, processes, and templates.
  • Prep for office opening at 8 am and closing at 5 pm, Monday through Friday.
  • Prepare welcome gifts for New Franchise Partners and New Employees.
  • Process payments for merchandise and coffee orders for internal employees as needed.
  • Decorate the office for holidays.
  • Assist team whenever necessary.

Requirements :

  • Proven experience as an office administrator, office assistant or relevant role
  • Outstanding communication and interpersonal abilities
  • Excellent organizational and leadership skills
  • Familiarity with office management procedures
  • Excellent knowledge of MS Office
  • A high school diploma or a bachelor’s degree is preferred.

Work Hours and Benefits :

  • Working Hours are Monday Friday, 7 : 45 am 4 : 45 pm.
