Academic Program Administrator
Cellular and Molecular Medicine Graduate Program is seeking an Academic Program Administrator who will provide administrative support to faculty, staff and students. The successful candidate will have excellent organizational and communication skills and will work under the direction of the Program Manager and Program Director.
Specific Duties & Responsibilities
  • Primary liaison to the faculty admissions director(s) for graduate admissions.
  • Organize and attend admissions outreach programs (attendance to SACNAS, ABRCMS, NIH graduate fairs), handle applications via SLATE, and organize recruitment events.
  • Track faculty and student demographics.
  • Communicate with student applicants through the admissions process.
  • Handle new faculty applications, organize faculty reviews and maintain communications.
  • Generate, administer and collect polls and surveys of students and faculty under the direction of program director.
  • Track student progress including maintaining grade reports, laboratory rotation reports, thesis meeting compliance, PhD checklist for graduation.
  • Assist with all program events such as orientation, annual retreat, recruiting events and special projects as assigned.
  • Update program website regularly, with appropriate IT support.
  • Communicate professionally with faculty, staff, students and external contacts to respond to questions, resolve administrative issues as appropriate and gather data as needed.
  • Work closely with office staff to ensure administrative tasks are carried out promptly and seamlessly.
  • Perform day-to-day administrative activities in the graduate program office by operating personal computer to access email, electronic calendars, and other basic office support software.
  • Initiate financial transactions as directed by program manager to include processing payments of invoices, ordering office supplies and processing reimbursements for students, staff, faculty and interviewed applicants (non-employees).
  • Implement office services: room scheduling for program activities, coordinate with students to set up their events, placing food orders for program events.
  • Assist graduate students when they visit the office as appropriate to include typing thesis seminar flyers, announcing thesis seminars as well as sending reminders to faculty and students.
  • Schedule, coordinate and set up meetings to include document formatting/typing meeting agenda, material/minutes as well as initiating meeting calendar invites as assigned
  • Maintain office files.

Technical Qualifications Or Specialized Certifications
  • Proficiency in the use of software applications, databases, spreadsheets, and word processing required (Microsoft Office including Word, PowerPoint and Excel, Outlook and Adobe)
  • Strong organizational skills required.
  • Successfully completes all required financial training course and University mandated training in MyLearning.
  • Basic website maintenance (can learn on the job)
Minimum Qualifications
  • Bachelor's Degree.
  • Three years progressively responsible experience in program administration in an academic environment.
  • Additional education may substitute for required experience and additional experience may substitute for required education to the extent permitted by the JHU equivalency formula.
Preferred Qualifications
  • Experience with Johns Hopkins University academic and business systems such as SAP, Concur.

Not all candidates will be eligible for the upper end of the salary range. Education and Experience EquivalencyPlease refer to the job description above to see which forms of equivalency are permitted for this position. Additional related experience may substitute for required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.
