As a leading institution in the education sector, we are seeking a dedicated and dynamic Special Events and Alumni Coordinator to join our Advancement team, reporting to the Director of Advancement. The Special Events and Alumni Coordinator role is a full time, 12 month position that will play a pivotal role in advancing the mission of The Meadows School through stewarding relationships with alumni, facilitating the production of special events, and to oversee volunteer management. The Special Events and Alumni Coordinator works with various staff and key school stakeholders to manage and support various activities, projects, and areas of the school that fall under the umbrella of advancement. Responsibilities
Provide world-class service to all existing and prospective constituents of The Meadows School
Manage and execute exceptional events that advance the school’s mission, cultivating prospects and donors, and enhancing engagement
In coordination with school stakeholders, organize, plan, promote, facilitate, and execute the logistics of special events. Events will include but are not limited to: faculty and staff parties, school spirit nights, Grandparents and Special Friends Day, Golf Tournament, Graduation, assisting the Director of Advancement with the Gala, and partnering with the Parent Association (TMSPA) on association events
Apply experience and knowledge to the planning, organizing, and coordinating of events including creation of event goals, creating and maintaining relationships with vendors, budget planning and management, securing event locations, catering and menus, logistics and general operations, on-site management, and event follow-up
Work with the Director of Advancement to cultivate relationships, building a comprehensive parent relations program that ensures volunteer engagement, recognition and a culture of gratitude
Act as a Meadows School ambassador during community events, creating avenues for potential partnerships and collaborations
Provide primary support and leadership for TMSPA, acting as a liaison between the school and the association, including annual strategic planning in the area of volunteer management
Actively engage current parents while communicating meaningful opportunities for service and participation through TMSPA
Manage, develop, and implement a multi-faceted engagement program for alumni constituencies
Work with the Advancement Team to articulate a compelling vision for TMS alumni engagement
Develop the Alumni Association creating programmatic goals and strategies for the alumni community including strategies and metrics for advancing and evaluating goals of the alumni program
Create consistent and meaningful avenues for alumni and alumni parent participation at TMS
Create and manage current TMS alumni events and activities
Collaborate with the Director of Communications to develop a communications plan for alumni-related content for school publications, website, and social media
Coordinate with Advancement Team on updating alumni biographical and contact information, including working within Veracross to keep alumni database records updated and accurate
Team with the Director of Advancement to support all Advancement functions on an as-needed basis
Have familiarity with advancement database services and work to keep event and alumni records updated
Work to establish and cultivate relationships with all TMS families
Perform other duties and tasks as assigned by the Director of Advancement, and/or Head of School
Key Skills & Qualifications
Bachelor’s degree in a relevant field
Minimum of 2-3 years of experience in fundraising, donor relations, and event planning
Exceptional interpersonal, written, and oral communication skills
Proficient in database management software and MS Office Suite
Ability to work independently and as part of a collaborative team
Ability to handle confidential information in a sensitive, discreet, and mature manner
Available to work non-traditional hours and weekends (e.g., Open House, school fairs, community presentations, etc.)
Excellent organizational, multitasking, and time-management skills
Builds relationships and culture through effective communication
Strong cultural competency skills, with demonstrated commitment to furthering the creation of a school community that supports a strong sense of belonging

Life - $45,000 policy for each employee at no cost
Retirement – In our non-contributory plan, TMS contributes 8% of employee base salary amount monthly. Employee is fully vested and has 100% ownership of all contributions. Additional employee contributions are allowed but not required. (Percentage of base salary increases to 9% after 7 yrs of service and 10% after 12 years of service)
