The Misch Group is Hiring an Office Manager - Staff Accountant Near Pittsburgh, PA

We are an award-winning architectural and design firm seeking a motivated, energetic individual to assist in the financial management and overall office operations of our established and growing firm. This is a full-time, in-office position with slight flexibility for personal situations. We are focused on employee satisfaction and long-term retention.

Responsibilities:

Financial Management and Office Operations:

  • Perform ongoing accounting tasks using specialized software (Deltek’s Ajera and Ivy). Training will be provided.

  • Assist the Office Manager in overall office management and operations.

Accounts Receivable:

  • Handle invoicing, deposit collection, and reconciliation.

  • Generate project invoices based on staff work and vendor invoices.

  • Work with Firm Principals to finalize and issue monthly invoices.

  • Receive, record, and reconcile bank check payments, EFT payments, and deposits.

  • Assist in deposit reconciliation.

  • General Journal data entry and reconciliation.

General Ledger:

  • Review and authorize journal postings.

  • Handle purchase orders, invoices, statements, cash receipts, and bank statements.

Accounts Payable:

  • Reconcile and enter vendor invoices.

  • Manage scheduling and processing of vendor payments, including weekly and bi-weekly check printing.

  • Track payments and expenditures.

Project Cost Accounting:

  • Process consultant invoices and post them to project costs.

  • Prepare and track project budgets.

  • Maintain and issue project budgets with professional staff.

  • Track reimbursable project costs.

Office Management:

  • Assist in general office and Firm management tasks.

  • Support Firm Principals with Office and Firm Management tasks.

  • Help with project proposals and track consultant proposals.

  • Assist in employment interviews.

  • Generate financial statements.

  • Schedule Continuing Education vendor presentations.

  • Track and reconcile employee timesheets with project costs.

  • Track employee benefits.

Contracts:

  • Assist with professional services contract generation and manage the contract acceptance process.

  • Track contract acceptance and DocuSign process.

Client Contact:

  • Represent the Firm in personal and telephone client contact.

  • Assist in marketing and client service contacts.

Software Proficiency:

  • Excel

  • Word

  • QuickBooks

  • Deltek Ajera (training provided)

  • Ivy (training provided)

Desirable:

  • Peachtree

  • InDesign

  • Photoshop
