The Neighborhood Center is Hiring a BEHAVIORAL HEALTH CLINIC PRACTICE MANAGER Near Utica, NY

JOB DESCRIPTION: The Practice Manager works closely with the Clinic Director and other program/agency management in planning, coordinating, and improving the practice operations of The Neighborhood Center Behavioral Health Clinics above and beyond other administrative positions. The primary responsibilities of this position include the supervision of assigned support staff; coordinating and delivering the training and onboarding of new prescribers and other new employees as needed; generating data reports to assist with the monitoring of quality, productivity targets, and other program goals; assisting program and agency management with the development and implementation of policies and procedures to ensure regulatory compliance.

SPECIFIC RESPONSIBILITIES INCLUDE:

  • Ensure that Article 31 practices are maintained in accordance with clinical, regulatory, and best practice principles.
  • Utilize data visualization software and other systems to prepare and submit statistical, productivity, and operational analysis reports for all clinic sites monthly and as needed.
  • Create and implement onboarding and training plans for new administrative staff at the Utica Clinic and new prescribers at both clinic sites, including fully remote staff.
  • Provide all necessary training to new prescribers including EHR and other systems training.
  • Obtain and renew prescriber certification with the Electronic Prescribing for Controlled Substances (EPCS) system.
  • Act as the point person for troubleshooting prescriber issues, needs, and concerns.
  • Update documents in the EHR in collaboration with the EHR company as directed.
  • Manage the prescriber's schedules in the appointment scheduling system and calendars (scheduling meetings, sending invites, etc.).
  • Act as the primary point of contact during agency-wide disruptions with the EHR, appointment scheduler, phone system, and/or other systems
  • Collaborate with community partners regarding the delivery of services including attending meetings, submitting specialized reports, etc.
  • Assist the Clinical Supervisor in coordinating the onboarding and training of new clinicians and interns at the Utica Clinic.
  • Ensure all administrative tasks are completed in a timely and efficient manner.
  • Work closely with the Clinic Director and other agency administration to establish, coordinate, and improve processes and procedures within the clinic.
  • Assist with the development and implementation of training initiatives.
  • Assist clinical supervisor(s) in coordinating clinician schedules to maximize productivity.
  • Monitor and maintain efficient documentation flow between base and offsite clinics/services.
  • Provide administrative supervision for clinical staff.
  • Provide overall supervision for clinic support staff including holding routine support staff meetings, handling appropriate personnel matters, completing performance evaluations, staff development, and training.
  • Work closely with program and agency management to establish, monitor, and improve policies, procedures, and clinic practices; including records management, quality assurance, and participating in new protocol development.
  • Assist in researching and writing grants as needed.
  • Maintains self in a professional manner at all times and adheres to the policies and procedures of the agency.
  • Performs other duties and participates in special projects as requested by agency administration.

REQUIRED QUALIFICATIONS:

  • Possess excellent written and verbal skills.
  • Proven ability to interact with a wide variety of personnel within the community as well as agency staff.
  • Possess experience and proven skill in analysis and re-engineering of operations and procedures.
  • Experience in prioritizing, complex problem solving, performing multiple tasks and working under deadline pressure.
  • Possess functional working knowledge of local, state and federal guidelines and regulations pertinent to The Neighborhood Center, Inc programming, treatment services and operations.
  • Ability to relate comfortably with the populations served by the program.
  • Experience in building consensus and support for organizational objectives and direction.
  • Experience in working effectively as a part of a leadership team.
  • Proven ability to be flexible and work independently.

Bachelor's Degree in Business Administration, Health Care Administration, Sociology, Social Work, or other closely related service or healthcare industry field and a minimum of three (3) years of administrative supervisory experience consistent with the position and scope and size of the agency, preferably in the not-for-profit sector.

OR

Associates Degree and a minimum of five (5) years of experience.
