The Neighborhood Center is Hiring a Clinic Administrative Supervisor Near Utica, NY

The Clinic Administrative Supervisor has overall responsibility for the administrative management of the assigned clinic site. The Clinic Administrative Supervisor works closely with the site Clinical Supervisor and Clinic Director to assist in the development of methods to facilitate efficiency and the management of the day-to-day administrative activities required to operate an Article 31 clinic. The Clinic Administrative Supervisor is expected to establish office and clinic procedures; design systems; implement policies and procedures; maintain efficient work flow; resolve day-to-day operational problems; respond to phone calls; organize, expedite and follow up on related projects.

The Clinic Administrative Supervisor provides direction, supervision, and leadership to the support staff for the assigned clinic site. This position works intensely with the Clinic Director and agency administration to ensure the highest quality of professional services are delivered. The Clinic Administrative Supervisor is responsible for providing the leadership necessary to assist both clinical and support staff to meet the needs of the clients served while meeting regulatory standards. This position is expected to work well with a large number of staff in the creation of a cohesive team that optimally utilizes their skills.

SPECIFIC RESPONSIBILITIES INCLUDE:

  • Ensure that Article 31 practices are maintained in accordance with clinical, regulatory and best practice principles.
  • Ensure all administrative tasks are completed in a timely and efficient manner.
  • Coordinate clinical processes and procedures within the clinic.
  • Assist clinical supervisor(s) with the process of maintaining documentation compliance, training initiatives, documentation training and orientation of new staff and interns.
  • Assist clinical supervisor(s) in coordinating clinician schedules to maximize productivity.
  • Monitor and maintain efficient documentation flow between base and offsite clinics/services.
  • Prepare and submit statistical, productivity, and operational analysis reports as needed.
  • Provide administrative supervision for clinical staff.
  • Provide overall supervision for clinic support staff including holding routine support staff meetings, handling appropriate personnel matters, completing performance evaluations, staff development and training.
  • Advise and assist his/her immediate supervisor in establishing/monitoring agency policies and clinical practices to include records management, quality assurance, and participate in new protocol development.
  • Assist in researching and writing grants as needed.
  • Maintains self in a professional manner at all times and adheres to policy and procedures of the agency.
  • Performs other duties and participates in special projects as requested by agency administration.

REQUIRED QUALIFICATIONS:

  • Possess proven excellent written and verbal skills.
  • Proven ability to interact with a wide variety of personnel within the community as well as agency staff.
  • Possess experience and proven skill in analysis and re-engineering of operations and procedures.
  • Experience in prioritizing, complex problem solving, performing multiple tasks and working under deadline pressure.
  • Possess functional working knowledge of local, state and federal guidelines and regulations pertinent to The Neighborhood Center, Inc. programming, treatment services and operations.
  • Ability to relate comfortably with the populations served by the program.
  • Experience in building consensus and support for organizational objectives and direction.
  • Experience in working effectively as a part of a leadership team.
  • Punctual and regular attendance is an essential responsibility of each employee. Employees are expected to report to work as scheduled, on time and prepared to start working.
  • Proven ability to be flexible and work independently.
  • Bachelor's Degree in Business Administration, Health Care Administration, Sociology, Social Work, or other closely related service or healthcare industry field and a minimum of three (3) years of administrative and/or supervisory experience consistent with the position and scope and size of the agency, preferably in the not-for-profit sector.

OR

  • Associate’s Degree in Business Administration, Healthcare, Human Services or a related service or healthcare industry field and a minimum of five (5) years of experience of administrative and/or supervisory experience consistent with the position and scope and size of the agency, preferably in the not-for-profit sector.
