Job DescriptionAbout the RoleReporting directly to the CEO's Chief of Staff, you will help ensure that the Chief of Staff's time and attention is aligned with the executive office's priorities. You will manage her calendar and time to ensure focus and progress against the highest impact priorities. You will collaborate with others in the office of the CEO and work with executive leaders across the company and with external partners. You will work independently to complete tasks and partner with us to create seamless team operations. You will think ahead, and handle next steps on many projects in flight. This is an excellent opportunity for someone who values contributing to a team to help things run smoothly and thoughtfully by applying your skills and judgment. You will work at The New York Times headquarters in New York City.
Responsibilities
  • Manage the Chief of Staff calendar and ensure coordination with CEO calendar and enterprise priorities
    • Vet and prioritize meeting requests; coordinate all conference calls, interviews, meetings, and travel bookings
    • Plan events including lunches, town halls, leadership offsite events, dinners and social gatherings
    • Prepare and submit Chief of Staff expense reports
  • Partner with the executive assistant to the CEO, providing backup and taking direction
    • Ready for all in-the-moment tasks, including full administrative support
    • Handle longer-term projects as assigned
    • Maintain executive contact lists
    • Manage time and prioritize incoming requests
  • Handle a heavy volume of requests from internal/external parties including answering inquiries, resolving problems and making referrals
  • Prepare for meetings including briefing and memo writing
  • Maintain an extremely high level of confidentiality on a variety of company matters
  • Keep your finger on the pulse of the organization; be aware of major projects in flightMaintain relationships with important contacts within and outside of the company
  • Maintain executive office supplies
  • Manage executive suite conference room bookings
  • Register guests and provide building tours
  • In-person attendance at least 3 days a week, whenever the CEO or CoS is in person, and whenever the EA to the CEO is unable to be in person
  • Demonstrate support and understanding of our value of journalistic independence and a strong commitment to our mission to seek the truth and help people understand the world.
Basic Qualifications
  • 4 years of experience in an administrative or executive assistant role
  • Experience supporting at least one C-suite or SVP-level person
  • Experience providing administrative support
Preferred Qualifications
  • You have a history working with all levels of management and staff
  • Ability to jump in at a moment’s notice and build context necessary
  • Bachelor’s degree
  • You are comfortable acting quickly to complete tasks
The annual base pay range for this role is between $70,000.00 and $85,000.00.
