The People Connection is Hiring an Administrative Assistant Near San Francisco, CA

Job DescriptionOur client, a well-established labor union organization in downtown San Francisco (near Civic Center BART) is looking to fulfill a need for a temp-to-hire Administrative Assistant. This assignment would be temp for at least twelve weeks, prior to any direct hire transition. Direct hire offer is union based in compensation and benefits structure.
Employment Type: Temp-to-Hire | (Around 30 Hours per Week)
  • Monday - Thursday: 8:30am – 3:30pm PT
  • Friday: 8:30am - 12pm PT
Pay Rate: $30.00 / HourResponsibilities:
  • Daily inbox and calendar management to internal staff and executive board. Including meeting scheduling and planning, travel coordination and correspondence management via email, phone, and mail
  • Coordinating in-office meetings, business engagements and events for the organization. Including budget management, registrations, vendor coordination, on-site/off-site planning, and execution
  • Document management and drafting of various confidential member documents, applications, invoices, certifications, and internal reports. Filing and tracking documents as needed
  • Routine database administration, data-entry and profile management of member related information and records, invoices, and contracts. Including reporting and tracking data as needed.
  • Coordination with outside vendors regarding on-site lunch accommodations, office supply inventory and ad-hoc special projects as arise
  • General bookkeeping of accounts payable and receivable, including and expense processing for organization expenses, events, or vendor related services
  • Clerical support internal to internal filings and records management. Managing and tracking hard copy documents with digitization into internal systems
  • Administrative and coordination support to a wide range of project, business initiatives and programs
Qualifications:Qualified candidates should possess a bachelor’s in business, communications, or a related field of study. Extended studies in Finance or Project Management are a plus. A minimum of two years’ administrative, executive assistant or project management experience. Proficiency in MS Office (Outlook, Word, Excel, and PowerPoint). Strong us of Adobe Acrobat. Demonstrate use of good judgment and strong interpersonal skills. Clear, effective, and concise communication abilities. High-level time management and ability to work efficiently in a fast-paced dynamic office environment. Collaborates harmoniously and effectively with others as part of a team, in addition to self-starter mentality when needed.
