Summary
Manages the Facilities Maintenance department and the work to maintain safe, clean and attractive buildings, grounds and library vehicles. Oversees the day-to-day operations of the maintenance department by assigning work, supervising personnel, and evaluating, mentoring, and training assigned team. Supports the COO in developing facilities plans, especially transitioning facilities from the construction to day-to-day maintenance. Recommends contracted service providers to the COO and oversees fulfillment of those contracts on a daily basis. Provides insight and recommendations on departmental practices and contracted services on a regular basis to ensure cost effective operations in areas of responsibility.
1. Directs and manages all functions of the Facilities Maintenance department, overseeing department workflow. Conducts regular inspections of facilities to identify maintenance needs and prioritize tasks accordingly. Develops and implements comprehensive maintenance programs and processes to ensure facilities are maintained to the highest standards.
2. Collaborates with the CEO and COO to plan, develop and implement facilities and construction projects in support of PLYMC’s strategic plan and goals. Supervises, evaluates, trains, mentors, and supports new and existing maintenance personnel.
3. Oversees and reviews all departmental responsibilities and contracted services on a regular basis for cost effectiveness and provides recommendations based on analysis. Works with COO to develop departmental budget and ensures purchase orders, invoices, and other budgetary documents are completed correctly and submitted in a timely fashion. Performs cost analysis and budget forecasting to ensure efficient use of resources.
4. Coordinates with the COO and Safety and Security Manager on selection and installation of safety and security equipment at all library locations. In collaboration with the COO and Safety and Security Manager, ensures compliance with all local, state, and federal regulations related to facilities. Develops and implements comprehensive maintenance protocols and training programs for staff related to maintenance and facilities safety.
5. Provides regular updates and reports to the CEO, COO, and other key stakeholders on the status of ongoing projects and maintenance activities. Advises the Leadership Team during periods of severe weather that may result in delays or closings of facilities.
6. Ensures the effective use of technology and tools related to maintenance upkeep and projects. Stays current with industry trends and advancements in facilities management.
7. Promotes and implements sustainable practices in all aspects of facility management. Works to reduce the environmental impact of the library’s facilities through energy efficient practices, waste reduction, and use of sustainable materials.
8. Participates as member of the Administrative Team – attends meetings, actively gives input to strategic decisions, long and short-range plans and other library issues as needed.
