CLASSIFICATION:

Full-time/Temporary-Term Limited, Hourly/Non-Exempt (12-15 months)

HIRING PAY RANGE:

$29.80/hr to $33.65hr

FULL GRADE RANGE:

Grade 30: $54,471 to $84,429 ($26.19/hr to $40.59/hr)

BENEFITS:

100% Paid by employer: medical, dental, vision, life, AD&D, LTD. 403(b) retirement matched at 5%, 100% immediate vesting. PTO: 3 weeks’ vacation, 2 weeks sick, 4 wellness days, 15 holidays, $1,200 annual remote work benefit, $750 annual wellness benefit, $1,200 annual transit benefit; optional Flex plan and dependent coverage.

WORK LOCATION:

Flexible; can be fully in-person or hybrid remote/in-person. This role will have a weekly in-office presence. Office located downtown Seattle; must live in WA state and comply with COVID-19 vaccination policy.

Summary:

The Development Coordinator is an important operations and customer service role for the Foundation that supports our current base of philanthropists, while also preparing to meet our future development needs. The Development Coordinator provides technical and administrative support, processes transactions, and interprets and explains our services to philanthropists and professional advisors. The office environment is fast-paced, requiring flexibility and strong organizational skills along with the ability to multitask, communicate effectively and demonstrate healthy time management. This position is an exciting opportunity for someone wishing to learn more about the world of philanthropy and business development, and who enjoys being a member of a dynamic team. We are seeking a friendly and highly organized individual capable of delivering on the following key responsibilities:

Essential Duties & Responsbilities:

  • Provide high-quality customer service to members of the Philanthropic Services team, community partners, professional advisors, and other external audiences. Includes serving as a primary point of contact responsible for managing and actioning all incoming calls and email inquiries to the department.
  • Support the Philanthropic Services team with a range of clerical, operational, and database projects including correspondence, research, scheduling and preparing for internal and external meetings, compiling meeting materials, and creating follow-up notes and actions.
  • Administrative support to Nonprofit Organizations, Supporting Organizations (SO), Fiscal Sponsors (FS), and Scholarships staff; coordinate and process documents and grant and scholarship applications, and ensure all documents are stored electronically.
  • Complete tasks as needed to balance workloads, meet program and transaction deadlines, and general support for the Philanthropic Services team, including grant application submittal, stale-dated checks, and database entry and maintenance.
  • Support event logistics and attendee tracking around virtual and in-person gatherings that are driven by the PS team. These could include (but are not limited to): Giving with Impact, Coffee Corners, PS Advisor Office Hours, Changemakers Luncheon, etc. Partner with SeaFdn’s events manager as needed to support other SeaFdn events that impact or influence the PS team and our partners.
  • Manage the PS team calendar of activities to uplift potential conflicts in scheduling, ensure adequate staffing during holiday times, and help drive the cadence of work for the team.
  • Serve as point person for acknowledgment letters for the Philanthropic Services team: coordinate with PS advisors for review, and review and proofread letters for accuracy weekly, and ensure they are mailed.
  • In conjunction with Finance & Operations, serve as point person to ensure grant checks are reviewed and mailed weekly.
  • Coordinate the quarterly statement process, including preparation of statements for review by Philanthropic Advisors, printing, and mailing.
  • Demonstrate a commitment to high-quality products by maintaining integrity and attention to detail. Work proactively and efficiently to ensure tasks are initiated and completed with high standards and due diligence.
  • Provide, manage and update lists for mailings, events, and in Raiser’s Edge and Microsoft Excel.
  • Update Seattle Foundation’s database: creating and updating proposals, constituent records, and other requests.
  • Conduct research to identify and update out-of-date/inaccurate database records.
  • Serve as the primary support for a centralized ticketing system that addresses updates to funds and constituent records (e.g., address changes, future plan changes, etc.), grant check lookups and reissues, statement pulls, and donor portal login troubleshooting.

Minimum Qualifications:

  • Minimum of one to three years’ experience working in donor relations, client/customer service, or philanthropy (or a combination of equivalent experience).
  • Experience in delivering high-level customer service, particularly with phone and email communications.
  • Strong written and verbal communication and interpersonal skills to work with diverse groups of people and businesses.
  • Ability to maintain confidentiality of both client and staff information.
  • Commitment to maintain a consistent quality of work while sticking to a timeline. Strong organizational skills and a high attention to detail.
  • Ability to work in a fast paced, culturally diverse environment.
  • Strong computer skills, including experience with database management and proficiency with Microsoft Office suite.
  • Ability to work in-office on a weekly basis.
