OPS- STAFF ASSISTANT

THIS IS NOT A TELEWORK POSITION. CANDIDATE WILL BE REQUIRED TO WORK IN THE OFFICE.

This is a full-time OPS position, working 40 hours per week.

Regular business hours are 8:00 am - 5:00 pm EST, Monday to Friday.

POSITION DESCRIPTION

  • Provides support for the Administrative Assistant II-SES to the Deputy Assistant Secretary for the Office of Community Services. This employee functions on an independent level while performing a variety of duties, which require initiative and sound judgement.
  • Provide support and backup to the administrative team.
  • Maintains the filing system.
  • Assists with employee recognition and engagement activities.
  • Responsible for processing travel reimbursements for non-department employees.
  • Responsible for creating and maintaining a log for all STMS( Statewide Travel Management System) travel.
  • Responsible for assisting in clearing WORKS charges for directors or managers.
  • Monitors supplies and maintains advanced ordering to ensure a constant supply of forms, documents, materials and supplies.
  • Responsible for date stamping and timely distribution of incoming and outgoing mail.
  • Attends all necessary staff meetings and job related training.
  • Performs other related duties as assigned.

Knowledge, skills, and abilities, including utilization of equipment, required for the position:

  • Knowledge of office procedures and practices. Knowledge of the principles and techniques of effective communication. Knowledge of basic arithmetic. Ability to understand and apply applicable rules, regulations, policies, and procedures. Ability to deal with the public in a tactful and courteous manner. Ability to perform basic arithmetical calculations. Ability to work independently. Ability to utilize problem-solving techniques. Ability to plan, organize and coordinate work assignments. Ability to communicate effectively. Ability to establish and maintain effective working relationships with others.
