Job Description

The responsibilities of this position are broad and require a thorough knowledge of laws, regulations and procedures pertaining to the Department of Education and State of Florida administrative operations. The employee in this position serves as the personnel liaison for the Bureau of Educator Recruitment, Development, and Retention. As such he/she is responsible for preparing personnel actions, serving as timekeeper by maintaining attendance and leave records, and preparing position requisitions through the People First System. Timesheets will be completed in the People First system by the 5th business day of the following month. Confidentiality of these matters will be maintained at all times. The employee must be productive under tight timeframes, balance multiple and competing priorities and maintain goal-directed behavior and performance sometimes under stressful conditions. The employee must interact courteously with others. The employee’s performance and behavior must demonstrate consideration of the workload concerns of others and must not negatively affect productivity and morale of the unit. Attendance is an essential function of this position.

  • This position is not approved for telework and must report to the location listed above.

Duties and Responsibilities

  • Trains new support staff and OPS staff in Bureau/DOE procedures and operations.
  • Coordinates daily coverage for the bureau’s public toll-free telephone line.
  • Makes travel arrangements for the Bureau Chief
  • Assists in the preparation of correspondence, purchase requisitions (MyFloridaMarketplace), travel authorizations, travel reimbursements, MITs & reports pertaining to all programs within the bureau.
  • Tracks correspondence leaving the bureau to ensure deadlines are maintained and that correspondence is forwarded to appropriate recipients in a timely manner.
  • Maintains personnel records on all bureau staff.
  • Prioritizes, types, proofs, and reviews finished products for grammatical & spelling errors, checking for correct formats, & departmental correspondence procedures.
  • Serves as the Bureau’s liaison for all personnel matters.
  • Serves as the Bureau’s contact Florida Department of Health Emergency Notification System.
  • Serves as the Bureau’s Chief Warden for fire drills and other emergency evacuation procedures.
  • Serves as the Bureau’s equipment manager to ensure all equipment is accounted for and appropriately maintained.
  • Performs other duties as assigned by the Bureau Chief and Program Directors.

Knowledge, Skills, and Abilities

Knowledge, skills and abilities, including utilization of equipment, required for the position: Knowledge of Microsoft Office software.

Ability to design reports, tables, queries using Microsoft Access.

Ability to develop appropriate file system for programs.

Knowledge of state travel and purchase order system.

Ability to accurately prepare travel authorizations, travel reimbursement, and requisition for purchase through e-market place in a timely manner.

Ability to make travel and hotel accommodations for Bureau personnel and department contract personnel.

Knowledge of proper grammar and spelling of the English Language.

Ability to type letters, perform mail merge function, construct tables, and construct labels in word.

Knowledge of how to organize and schedule meetings.

Minimum Qualifications:

  • Ability to communicate effectively including verbal and written communication.
  • Experience with public speaking
  • Ability to provide work samples of writing skills for grammar, editing and communication review.
  • A complete and updated Application/Resume are required.

Preferred Qualifications

Preferences will be given to applicants who have excellent writing skills, presentation experience and an educational legal background.

LEAVE INFORMATION: (CS)

    • Annual Leave - All full-time Career Service employees filling established positions earn annual leave in varying increments dependent upon years of creditable service. Employees with up to 5 years of creditable service earn 8.667 hours per month, with 5 to 10 years earn 10.833 hours per month and those with over 10 years of service earn 13 hours per month. Employees in Senior Management Service and Selected Exempt Service positions are credited with 176 hours of annual leave upon appointment. In subsequent years, the annual allotment is credited on the anniversary date of the initial appointment.

BACKGROUND SCREENING REQUIREMENT

It is the policy of the Florida Department of Education that applicants for employment/volunteer undergo Level 2 background screening in accordance with the requirements of Chapter 435, Florida Statutes, as a condition of employment or being permitted to serve as a volunteer.
