About the Position:

Position Summary & Responsibilities: Position Summary:
The Operations and Logistics Coordinator will assist with workload management, scheduling, communication, budgeting, special projects, research, travel coordination, traditional administrative duties and routine tasks.

Job Responsibilities may include but are not limited to the following:

  • Attends meetings with the Assistant Secretary, Quality Places staff, and stakeholders.
  • Prepares materials, takes notes, and develops a list of follow-up items.
  • Assists the Assistant Secretary in monitoring deadlines on memos, projects, and other tasks to ensure completion promptly.
  • Maintains the Assistant Secretary’s calendar. Schedules meetings, travel, events, and other logistics.
  • Submits required fiscal paperwork for the Assistant Secretary.
  • Serves as the main point of contact for meeting requests from staff, external stakeholders, etc., and informing individuals of necessary schedule changes.
  • Develop and implement a process to monitor and track all budgets of each Quality Places division and provide a monthly memo to the Assistant Secretary regarding any budget concerns regarding over or under-spending.
  • Serve as the lead support role for Quality Places Division.

Qualifications:

Minimum Qualifications:

  • Three to seven years’ experience supporting executive level managers.
