DEPARTMENT: Guest Services/Front Office
REPORTS TO: Director of Rooms
STATUS: Exempt
Job SummaryThe Guest Services Manager is responsible for coordinating, supervising, and directing all aspects of the Guest Services department in an attentive, friendly, efficient, and courteous manner, providing all guests with quality service while maximizing room revenue and productivity, and developing supervisors and associates.
Job RequirementsEducation & Experience:
  • At least 6 years of progressive experience in a hotel or a related field; or a 4-year college degree and at least 2 years of related experience; or a 2-year college degree and 4 or more years of related experience.
  • Previous management experience preferred. Previous supervisory experience required.
Physical requirements:
  • Flexible and long hours sometimes required.
  • Light work - Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently or constantly to lift, carry, push, pull or otherwise move objects.
  • Ability to stand during entire shift.
General Requirements:
  • Maintain a warm and friendly demeanor at all time.
  • Must be able to effectively communicate both verbally and written, with all level of employees and guests in an attentive, friendly, courteous and service oriented manner.
  • Must be effective at listening to, understanding, and clarifying concerns raised by employees and guests.
  • Must be able to multitask and prioritize departmental functions to meet deadlines.
  • Approach all encounters with guests and employees in an attentive, friendly, courteous, and service-oriented manner.
  • Attend all hotel required meetings and trainings.
  • Maintain regular attendance in compliance with AT Hospitality Standards, as required by scheduling, which will vary according to the needs of the hotel.
  • Maintain high standards of personal appearance and grooming, including wearing nametags.
  • Comply with AT Hospitality Standards and regulations to encourage safe and efficient hotel operations.
  • Maximize efforts towards productivity, identify problem areas, and assist in implementing solutions.
  • Must be effective in handling problems, including anticipating, preventing, identifying, and solving problems as necessary.
  • Must be able to understand and evaluate complex information, data, etc. from various sources to meet appropriate objectives.
  • Must be able to maintain confidentiality of information.
  • Must be able to show initiative, including anticipating guest or operational needs.
  • Perform other duties as requested by management.
Job Duties & FunctionsFundamental Requirements:
  • Associates must, at all times, be attentive, friendly, helpful, and courteous to all guests, managers, and fellow employees.
  • Maintain a professional working relationship and promote open lines of communication with managers, associates, and other departments.
  • Be able to perform all duties of Guest Services Agent and Night Auditor.
  • Respond to all guest requests, problems, complaints and/or accidents arising in person or through reservations, comment cards, letters and/or phone calls, in an attentive, courteous and efficient manner. Follow up to ensure guest satisfaction.
  • Motivate, coach, counsel, and discipline all Guest Services team according to AT Hospitality standards.
  • Prepare and conduct all Guest Services interviews and follow hiring procedures according to SOPs. Actively support Human Resources with recruiting efforts.
  • Ensure compliance of Guest Services and other hotel-specific training, using the steps to effective training according to AT Hospitality standards. This includes New Hire training.
  • Develop associate morale and ensure training of Guest Services team.
  • Ensure implementation of all policies and house rules. Understand hospitality terms.
  • Follow and enforce all AT Hospitality hotel credit policies.
  • Be the expert in all Guest Services emergency-response procedures.
  • Work in conjunction with Revenue & Reservations Manager to:
    • Maximize room revenue and occupancy by reviewing status daily.
    • Analyze rate variance, monitor credit report and maintain close observation of daily house count.
    • Monitor selling status of house daily, i.e. flash report, allowances, etc.
    • Monitor oversold dates.
    • Assist in preparation of revenue and occupancy forecasting.
  • Monitor expenses to ensure expense control and maximize profit.
  • Conduct monthly Guest Services department meeting, as well as one-on-ones with each associates.
  • Perform Guest Services annual performance reviews according to SOP.
  • Monitor labor expenses through schedule approval process and ensure budgeted productivity.
  • Assist in preparing the Guest Services annual budget.
  • Participate in required M.O.D. program as required.
  • Operate all aspects of the Front Office computer system, including software maintenance, report generation and analysis, and simple programming.
  • Be knowledgeable of the current hotel marketing programs and the standards and procedures for each. Ensure that staff is knowledgeable in understanding and implementing programs.
  • Monitor all VIPs, special guests, and requests.
  • Ensure overall guest satisfaction.
