Position Overview:

We are seeking a dynamic and meticulous Event Coordinator to orchestrate extraordinary events at our esteemed venue. As the primary liaison between clients and our team, the Event Coordinator plays a pivotal role in bringing visions to life, ensuring flawless execution, and exceeding expectations. Key Responsibilities:

  • Client Collaboration: Cultivate strong relationships with clients through attentive listening and personalized service. Conduct comprehensive consultations to understand their event objectives, preferences, and budgetary considerations.

  • Tailored Event Planning: Develop customized event proposals and timelines tailored to each client's unique needs and desires. Coordinate all logistical elements, including venue setup, décor, entertainment, catering, and transportation.
  • Vendor Coordination: Source and manage relationships with external vendors and suppliers to ensure seamless execution of events. Negotiate contracts, oversee vendor payments, and maintain up-to-date records of all agreements.

  • Budget Management: Create detailed event budgets aligned with client expectations and company guidelines. Monitor expenditures throughout the planning process and provide regular updates to clients to ensure transparency and adherence to financial constraints.

  • Creative Direction: Collaborate with clients and internal teams to conceptualize and execute innovative event themes, décor schemes, and menu offerings that align with our brand identity and exceed guest expectations.

  • On-Site Execution: Provide hands-on coordination and support during events to ensure smooth execution and exceptional guest experiences. Oversee setup, breakdown, and on-site logistics, addressing any issues promptly and professionally.

  • Post-Event Evaluation: Conduct post-event debriefings with clients to gather feedback and assess overall satisfaction. Analyze event performance against established goals and metrics, identifying opportunities for improvement and future enhancements.

Qualifications:

  • Proven experience in event planning and coordination, preferably within the hospitality industry.
  • Strong organizational skills with the ability to manage multiple projects simultaneously while maintaining meticulous attention to detail.
  • Exceptional communication and interpersonal skills, with a client-centric approach and the ability to build rapport with diverse stakeholders.
  • Proficiency in event planning software, Microsoft Office suite, and other relevant tools.
  • Flexibility to work evenings, weekends, and holidays as required to accommodate event schedules.
  • Certification in event planning or hospitality management is an asset.

Job Type: Full-time

Pay: From $40,000.00 per year
