THE WESTMINSTER SCHOOLS is Hiring an Athletic Facilities Manager Near Atlanta, GA

Position OverviewThe Athletics Facilities Manager at the Westminster Schools is responsible for the comprehensive management and strategic planning of all athletic facilities and events. This includes leading deferred maintenance forecasting and budgeting, serving as a liaison between various departments, and overseeing the scheduling, logistics, and operational needs of practices, games, and large-scale events.
This role is critical not only to the daily operations, but also to the long-term strategic planning and success of the Westminster Schools' athletic programs. It requires a blend of strategic thinking, detailed operational management, and strong communication skills to successfully bridge the needs of the athletics department with those of the wider school community and external partners.

Supervisory Responsibilities: None
Position Status: Salaried, Exempt, Full-time, Regular, 12-month position
Hours of Work: Standard work week with non-traditional work hours expectations. Evening and weekend work are required.
ESSENTIAL RESPONSIBILITIES: Comprehensive management and strategic planning of athletic facilities and events.
  • Partners with Risk and Auxiliary Manager to ensure coordination of third-party use of Athletics Facilities
  • Partners with Asst. AD for Operations and Coordinator of Practice, Game, and Event Operations on all scheduling and logistics for practices, games, and large-scale events.
  • Reviews planning and usage requests of all athletics facilities for internal and external groups in conjunction with the AD for Operations
  • Plays a critical role in event management for large-scale home competitions (ie. home football games, post-season championships, etc.)
  • Partners with Security to coordinate required annual training around athletic venues for all athletics staff and game managers.
  • Partners with the Coordinator of Practice, Game, and Event Operations to ensure efficient and organized setup/breakdown of athletic activities
  • Monitors Veracross daily/hourly to ensure events and spaces are properly prepared for, set up, and broken down for users.
  • Meets with Program Heads biannually around large-scale equipment and space planning needs.
  • Attends Athletics Facilities conferences to stay up to date on best practices and trends around Athletics Facilities Management.
  • Partners with the Coordinator of Equipment Operations to optimize storage and organization within Turner Gymnasium for all 24 sports programs and 74 teams.
  • Coordinates and attends all home football game days, postseason events, and any other home contests called upon.
  • Additional game management duties upon request.
  • Responsible for submitting key and badge requests for Athletics staff.
  • Perform other duties as assigned
ESSENTIAL RESPONSIBILITIES: General management and oversight of the maintenance of Athletics physical space, grounds, and playing surfacesLocations include Turner Gymnasium, Kent Fields, Broyles Field, Scott Field at KGB Stadium, Tennis Facility, Cody Field at Lloyd Stadium, Fritz Orr Field at Thompson Stadium, Summer Camp Field, and Large Field House.
  • Leads deferred maintenance forecasting, and budgeting for all athletics facilities to ensure athletics facilities remain safe, functional, and up to date.
  • Serves as the primary liaison between Westminster’s Physical Plant Department and Athletics with respect to reporting maintenance issues, oversight of facility improvements, and project tracking.
  • Acts as liaison to the IT department for any Athletics-related IT equipment and needs.
  • Conducts regularly scheduled maintenance reviews and inspections alongside the Facilities Maintenance department and reports through the work order management system.
  • Processes work orders for all athletic facilities on campus. Partners with Maintenance Department on scheduled work within and around Athletics Facilities to limit disruption and optimize efficiency.
  • Partners with the Grounds Manager on field maintenance planning and scheduling and decisions around field playability for practice and competitions in the event of inclement weather.
  • Coordinates with Environmental Services around the scheduling and effectiveness of the cleaning and upkeep of Athletics Facilities.
  • Serves as the liaison between PPD and Athletics around key distribution for athletics staff and coaches.
  • Fosters new and existing relationships with all outsourced vendors overseeing fulfillment of vendor responsibilities to ensure playing surfaces are always in excellent and safe conditions.
  • Perform other duties as assigned.
ESSENTIAL RESPONSIBILITIES: Development and execution of Policies and Procedures relative to Athletics Facilities
  • Leads the development and execution of policies and procedures relative to Westminster Athletics facilities with an emphasis on safety and operational efficiency and quality.
  • Partners with PPD, Security & the Asst. AD for Sports Medicine, Performance & Support to ensure EAPs are drafted, reviewed, approved, and distributed to relevant stakeholders.
  • Perform other duties as assigned.
Requirements And Qualifications
  • Minimum 7 years' experience with at least 3 years in an Athletics facilities management role.
  • College or technical school degree from an accredited institution; degree in a closely related field preferred.
  • Knowledge of the practices, procedures, and safety precautions of the building maintenance trades
  • A general set of hand tools is expected to be provided by the employee. Employer will provide specialized tools
  • Knowledge and experience with the use of hand and power tools
  • Knowledge and experience with multiple maintenance trades and practices
  • Valid GA Driver’s License and Westminster acceptable driving record
  • Must be physically able to perform and/or assist with the functions of the positions under your supervision when necessary

  • Solid foundation and comfort with the use of software and databases. Strong organizational, strategic, and communication skills to ensure the athletic facilities meet the needs of the school and its programs effectively.
PHYSICAL DEMANDS AND WORK ENVIRONMENTWhile performing the duties of this position, the employee is required to sit; stand; walk; use hands to finger, handle, and feel objects, tools, or controls; reach with hands and arms; climb stairs; balance; stoop, kneel, crouch and crawl; talk and hear; engage in moderately strenuous physical activity both indoors and out; and smell. The employee may occasionally lift or move up to 50 pounds. Specific vision abilities required by this position include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. Ability to become CPR and First Aid Certified required.
While performing the duties of this position, the employee is occasionally exposed to outside weather conditions and may frequently walk on slippery or uneven surfaces. The noise level in the work environment is frequently loud.
TRAVELTravel is primarily local during the regular business day. Overnight and out-of-area travel may also be required.
