Description

Summary of Duties: Provide administrative support to Chief Technology and Innovation Officer, and departments reporting to the CTIO as directed by the CTIO. Provide a wide variety of customer service-related, administrative, or office/facility management duties, serving as the first line of services to internal and external customers of the Township.

Essential Duties and Responsibilities:

  • Conducts research and compiles information for reports.
  • Processes check requests.
  • Processes department contracts for approval and recording.
  • Processes purchase orders and invoices by verifying product or service was received, writing proper account code on invoice, and forwarding to accounts payable.
  • Maintain all databases, as required by the assigned department.
  • Administer all programs, as assigned by department.
  • Composes and prepares routine correspondence.
  • Coordinates Director's schedules and makes appointments to include travel schedules and reservations; to include processing travel and lodging requests for the department.
  • Sorts and distributes incoming mail; prepares outgoing mail and correspondence, including email and faxes.
  • Organizes and maintains file system and files correspondence and other records.
  • Makes copies and scans correspondence and other related materials.
  • Assist with project management and scheduling resources.
  • Assist in the coordination of department events and programs.
  • Orders and coordinates delivery of office furniture and/or supplies for the department; to include maintaining accurate inventory for the department.
  • Provides Notary Public service for company documents.
  • Maintains emergency information and supplies for the department.
  • Maintains company cellphone inventory.
  • Recommend improvements in workflow, procedures and use of equipment and forms.
  • Performs other duties as assigned.

Qualifications


Minimum Qualifications:To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

Education: Associate Degree (A. A.) or equivalent from two-year college or technical school.

Experience: Three (3) years’ related experience; or equivalent combination of education and experience.

Licenses and Certifications:

  • Must possess a Texas driver’s license within the first ninety (90) days of employment and meet the driver safety policy requirements.
  • Notary Public

Computer Skills: Must be proficient in Office 365 and Teams.
