Job DescriptionUnder the direction of the Office Manager, the Overnight Camp Registrar will serve as the primary point of contact for parent communications and camp registrations. This position will be responsible for maintaining records and assisting with registration for all camp families and programs. The registrar is responsible for maintaining a professional and organized office environment while assisting in day-to-day business activities.
Qualifications
  • High School Diploma or GED
  • 1 years of experience working with children in a structured setting
  • Must be at least 18 years of age
  • Must have or be able to obtain within the first 30 days of employment First Aid/CPR/AED; must obtain any other certifications required for the position.
  • Must have a good understanding of Microsoft Office and be well-versed in basic computer software.
  • Excellent interpersonal, written, and verbal communication skills.
  • Ability to handle multiple tasks, work independently, problem solve and possess effective time management skills.
  • High degree of human relation skills: Ability to effectively communicate and manage information to peers, staff, and volunteers.
  • Strong customer service skills and personal commitment to service and hospitality.
  • Must have the ability to multitask priorities and assignments with minimum supervision.
  • Ability to establish, collaborate and maintain relationships with staff, members, volunteers and the public
  • Exemplify YMCA ideals, leadership qualities.

Essential Functions
  • Collect and enter financial, assessments, and scholarship information based on the association scale and collaborating with the Executive Director to meet the needs in the case of extenuating circumstances.
  • Supports and/or is directly involved in the sale of program registrations.
  • Directly enter registrations for campers, sell program memberships, invoice first payments and send a confirmation receipt.
  • Adjust and record scholarships related to special grants.
  • Assists Office Manager with various finance-related functions including accounts receivable, billing, accounts payable, inventory, purchasing, budget monitoring, bank account reconciliation, and maintaining cash controls to protect the organization from loss.
  • Set up programs in CampMinder and/or Spirit, according to association guidelines, activating programs for registration.
  • Manage set up for credits, refunds and adjustments in the system based on changes with Association Direction.
  • Help create the grids and waitlists that will be used to place as many campers into camp as possible.
  • Actively develop, educate, and own the knowledge base to quickly respond to member and prospective member questions.
  • Serve as a liaison between office staff, program staff, and camp directors regarding updates/changes to the roster and participant information.
  • Take steps to building committed and connected relationships with members, volunteers, and collaborative partners.
  • Serve as primary point of contact for families regarding program registration, financial aid, cancellation information.
  • Provides excellent and timely service to members and program participants over the phone and through email, contributing to member retention.
  • Directly handles and resolves registration concerns and informs supervisor of unusual situations or unresolved issues.
  • Maintain branch and association certifications in CPR/AED, Metro Atlanta YMCA New Staff Orientation and Branch Emergency procedures and any other required certifications and/or training required by the Metro Atlanta YMCA
  • Support Office Manager in on-boarding of staff as needed
  • Achieve all required CampMinder and SPIRIT trainings as assigned. Apply and utilize CampMinder and SPIRIT according to established guidelines as assigned.
  • Maintains privacy requirements by not sharing personal information about members including, but not limited to, phone numbers, addresses, program participation, financial information, or personal situations.
  • Adhere to, and implement, all policies and procedures listed in the training manual and as new policies are implemented.
  • Communicate in a positive manner with members, guests, program participants and volunteers. Provide appropriate assistance as needed.
  • Implement the YMCA safety protocols related to operations.
  • Provide a leadership role in ensuring member/staff adherence to the safety protocols, with a commitment to positive member experience and staff safety.
  • Attend all staff meetings and trainings, as required.
