Job Description

Support the Executive Director through clerical, secretarial and administrative tasks. This position reports to the Executive Director and must be able to work independently. 

Key Responsibilities

  • Support Executive Director by scheduling appointments and managing Executive Director’s schedule; screening phone calls (independently respond when appropriate); screening mail (independently respond when appropriate); drafting correspondence for executive's review; making dining reservations for donor and other meetings; managing Executive Director’s concert ticket needs; assisting with travel planning and expense reports; managing and printing remarks for speaking engagements.
  • Manage scheduling, agenda creation, and note-taking for NSO core staff meetings and broader NSO Administration staff meetings. 
  • Draft individual letters of agreement for musicians according to standard formats and special information from the Executive Director and/or Director of Orchestra Personnel. 
  • Administer musicians’ Instrument Loan Fund according to published guidelines: ensure validity of requests, availability of funds and prepare contracts for Executive Director’s signature.
  • Manage fee concert inquiries - Screen initial inquiries; provide Executive Director with available dates; prepare contract; coordinate schedule with Kennedy Center Booking Manager and Sales Services; and follow for payment of fees and invoicing
  • Serve as office manager: restock supply cabinet; submit facilities requests for needed repairs; liaise with facilities and IT for NSO staff needs. 
  • Serve as Volunteer Council liaison; assist with communicating schedules and coordinating with Education and Community Engagement program staff.
  • Other duties as assigned. 

Key Qualifications

  • Minimum of 2 years of administrative experience working for a high-level executive.
  • Bachelor’s degree preferred. 
  • Computer literacy is required including knowledge of word processing, spreadsheet, and scheduling software, with typing skills of at least 60 wpm. Knowledge of orchestral music and orchestra production is helpful and strongly preferred.
  • Ability to write, edit, and proof a multitude of correspondence and documents effectively
  • Ability to work independently with little supervision. Excellent interpersonal skills to communicate effectively with a wide variety of outside contacts are required.
  • Ability to follow through on multiple projects simultaneously is critical, as is experience dealing with union requirements
  • Candidate must be local or willing to relocate to the DMV area
