Theodore Roosevelt Conservation Partnership is Hiring an Executive Manager to the CEO Near Washington, DC

Status: Full time/ Reports to: CEO / Location: Washington, DC/ Salary: $70-75K DOE

Founded in 2002, the Theodore Roosevelt Conservation Partnership (TRCP) is a national 501(c)(3) non-profit organization that works with 60 partner groups, its Corporate Council, and its 140,000 members and supporters to guarantee all Americans quality places to hunt and fish. We unite and amplify our partners' voices by strengthening federal policy and funding around conservation, habitat, and access.

The TRCP is looking for an experienced Executive Manager to join this high performing, highly dynamic team. The Executive Manager will play a key role in supporting the CEO and coordinating with TRCP's Board of Directors.

The TRCP offers a generous benefits package including health, dental, vision, life and disability insurance, 401k, cell phone and home internet reimbursement, and ample paid time off.

The hybrid position is based in Washington, DC, and the Executive Manager is expected to be in the office an average of at least 3 days per week. The in-office schedule of the Executive Manager will mirror that of the CEO. For example, some weeks while the CEO is traveling the Executive Manager may be able to work from home, other weeks when the CEO is in the office, the Executive Manager will be expected to come in daily.

RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO:
  • Provide best in class support to the CEO in all endeavors, including calendar management, scheduling meetings and conference calls, making travel arrangements, and expense reporting.
  • Manage the CEO's email and phone to ensure timely responses to important communications; organize the inboxes for easy reference and keep it as "clean" as possible (e.g. ridding of spam); forward and/or answer any inquiries about scheduling or other priorities.
  • Manage confidential and sensitive information from the CEO and Executive Team, including emails, shared files, meetings, etc.
  • Draft and prepare correspondence, including confidential documents, and ensure successful completion of deliverables under deadline pressures.
  • Build and maintain relationships with internal and external stakeholders.
  • Prepare reports and presentations in various formats (Word, Excell, PowerPoint, etc.), and conduct research and compile data necessary for completion.
  • Act as concierge to the CEO, high-profile partners, the Board of Directors, and business contacts. Proactively develop briefing documents in advance of CEO, partner, and stakeholder interactions. Attend meetings as requested, take notes, and ensure action items and next steps are effectively managed and delegated.
  • Expertly manage correspondence and acknowledgements including written notes, invitation management, follow up on status of tasks, and continuous updates and communication via phone, email and in person.
  • Serve as primary point of contact (besides CEO) for National Board members. Coordinate new member onboarding. Assist Board members as needed for logistics related to Board and committee meetings.
  • Provide leadership and support for board meetings and all Board committee meetings, including scheduling, agenda development, creating professional materials for distribution (spreadsheets, slide decks, etc.), compiling meeting minutes, securing meeting spaces and refreshments, and overseeing follow-up communication or next steps.
  • Support other executive staff as needed, such as assisting with travel and meeting scheduling. Work on various special projects and initiatives as needed.
  • Other duties as assigned.
You'll Bring These Qualifications:
  • Bachelor's degree, or equivalent work experience.
  • Minimum of 5 years of experience supporting senior executives, executive directors or CEO's, preferably in a nonprofit setting.
  • Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams), Adobe Acrobat.
  • Superior time management with the ability to use or create systems to prioritize multiple competing tasks and manage projects to meet deadlines effectively.
  • Strong organizational skills.
  • Strong interpersonal skills and emotional intelligence, and ability to build relationships with staff, board members, and external partners.
  • Strong communication skills, both written and verbal, with the ability to interact professionally with individuals at all levels.
  • Demonstrated ability to produce professional correspondence and presentations.
  • Proactive problem-solving skills with strong decision-making capability.
  • High level of emotional maturity, sound judgement and ability to handle confidential information with discretion.
  • Demonstrated ability to meet high-performance goals and deadlines in a fast-paced environment.
  • Forward-thinking and solution oriented.
  • Attention to detail and a high level of accuracy in all tasks.
  • A self-directed customer service-oriented individual who can function as an independent thinker and a team player.
  • Able to travel out of state overnight, work evenings and weekends for special events.
  • Enthusiasm for the outdoors and conservation; hunting/fishing background a plus (but not required).
Physical Requirements:
  • Must be able to lift 25 pounds
  • Must be able to stand, walk, and sit for long periods of time
