JOB TITLE: Office Manager

SUMMARY
Theoris is assisting our client in their search for an Office Manager who will serve as part of the team in the Carmel, Indiana Office. This Office Managerial position offers the opportunity to learn and assist with financial planning - there is one financial planner, and the goal is to grow the office exponentially. This position will set up and make all arrangements and be present for all after-hours seminars as well as other marketing events. This person will be the right hand to the Financial Advisor in all areas of administration and be the smiling face to all clients.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Office Managerial position with the opportunity to learn and assist with financial planning - at this time there is one financial planner.
*Set up and make all arrangements / be present for all after-hours seminars. (makes an additional 120.00 each)
*Scheduling for clients and financial advisor
*Book seminars (Ruths' Chris, Sullivans, etc)
*Client Experience - Interacting with prospects and clients to provide a world-class experience. This involves welcoming clients in addition to welcoming prospects at locally hosted seminars and other marketing events. Additionally, this aspect of the role provides updates to our CRM and scheduling systems and processes that provide seamless communication and planning for our client-advisor interactions.
*Financial Advisor Support - Acting as a coordinator between our Advisors, Clients, and our Client Service Team, these responsibilities assist local Financial Advisors in coordinating their duties. A level of financial services paraplanning and subject knowledge is desired.
*Facilities Management – oversee the world-class upkeep of our office by working with third parties our in-house facilities manager, and third parties such as property management, our cleaning staff, and suppliers through keeping inventory and ordering of needed supplies.
QUALIFICATIONS
*Associate degree preferred, or relevant office experience
*CRM experience a plus
*Experience in small event planning (seminars) a plus
*Ability to lead the Office without much direction needed
*2 plus years of office experience in fast-paced atmosphere
*Someone who wants to grow in their knowledge of financial planning
*Must be social and helpful
