Audit Administrative Assistant (Full-Time)Thomas Howell Ferguson P.A. We are currently seeking an individual looking to take that next step in advancing their career path by accepting the engaging and fulfilling role as an Audit Administrative Assistant in our Tampa office.Job SummaryThis position provides general administrative and some advanced support to the assurance services (audit) department. Activities are carried out under minimal supervision. Duties require the application of functional knowledge of the department’s discipline as acquired through on-the-job experience, prior experience, or training and/or course work. Must be able to work independently or in a team environment. The ability to work professionally under pressure and handle multiple assignments is essential.
The ideal candidate will possess the following:
  • High school diploma or equivalent (required).
  • Have earned an associate or bachelor’s degree (preferred, but not required).
  • Two years’ experience working in a professional office environment.
  • Possess excellent communications skills with the ability to professionally interact and communicate with individuals at all levels inside and outside of the firm.
  • Intermediate to advanced understanding of a variety of computer software applications such as Microsoft Office suite including Excel spreadsheets, database and presentation software (MSWord, Excel, Access, PowerPoint) as well as a familiarity with the Internet; Microsoft Word knowledge must encompass tables, including setting up tabs within tables, and embedding Excel spreadsheets into Word documents. Microsoft Excel knowledge should encompass linking to other Excel workbooks and to Word documents. Knowledge and experience with Microsoft Teams preferred.
  • Strong attention to detail, and proficiency to established priorities and deadlines.
  • Favors working in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands.
  • Remains calm under pressure.
  • Exceptional organizational skills and the ability to exercise independent judgment.
  • Flexibility to work overtime on short notice, especially during peak season.
  • Be able to type a minimum of 50 wpm.
  • Understand office equipment including computers, printers, copiers, fax machines, scanners, telephone systems and binding machines.
This is an in-person, working in the office position. You’ll find that between our regular team meetings, firm retreats, participation in industry specific events, and our involvement in professional organizations, we are committed to staying connected as a team.
**We are looking to fill the Audit Administrative Assistant role immediately. **
Some Of The Essential Duties And Responsibilities
  • Provide direct assistance to the Shareholders, Directors and Senior Managers, primarily in the Audit department (this includes but is not limited to special projects, travel arrangements, CPE and conference registration, scheduling client meetings, and/or internal meetings with staff).
  • Administrative Support to include preparation of client financial statements, internal and external memoranda, general correspondence and engagement letters
  • Reviews, proofs, and edits documents prior to distribution.
  • Creates and produces final PDF and hard-copy financial statements, agree-upon procedures, memos and engagement letters.
  • Front office receptionist responsibilities to include greeting clients, directing incoming phone calls, set up of daily meetings and conference rooms as necessary.
  • Reconcile and process expense reports for audit shareholders.
  • Prepare administrative forms.
  • Assist with scheduling of client workflow.
  • Assistance with PowerPoint presentations.
  • Coordinate client and administrative deliveries and pickup.
  • Collects and distributes out-box mail for audit shareholders.
  • Photocopies and scanning for staff and clients.
  • Responds to routine telephone calls.
  • Coordinates travel arrangements.
  • Administrative support for outside consultants.
  • Builds and updates industry-specific knowledge libraries.
  • Updates all templates.
  • Assists with training support for CaseWare/Case View applications.
  • Assists with the quality control of audit documents.
  • Assists with conference registrations for audit department.
  • Maintains master copies of client reports and financial statements.
  • Assists the IT department setting up workstations for new team members and collecting and returning IT equipment upon team member departure.
  • Assists the firm’s recruiting and retention efforts through administrative support for upcoming events, welcoming new hires to the office and other related tasks.
  • In offices other than Tallahassee: orders and coordinates office-wide meals and treats, serves as the on-premises liaison between the firm and building management, scanning and assisting with reconciliations of the firm’s credit card(s), ordering office supplies, and assistance with parking permit assignments and/or validation of parking receipts.
  • Other duties as assigned.
