Job Description:
We are seeking a highly organized and detail-oriented individual to join our team as a Secretary. As the first point of contact for our company, the Secretary will play a crucial role in ensuring smooth operations and effective communication both internally and externally. The ideal candidate will be proactive, resourceful, and possess excellent communication skills.
Responsibilities:
  • Greet and assist customers in a professional and friendly manner.
  • Answer and direct phone calls promptly and efficiently.
  • Schedule estimates for our estimators.
  • Maintain electronic and paper filing systems.
  • Assist with basic bookkeeping tasks, such as invoicing and expense tracking.
  • Perform general office duties, such as ordering supplies and maintaining office cleanliness.
  • Handle confidential information with discretion and professionalism.
  • Take Phone Calls.
  • Allocate Spending in Door Loop.
  • Invoicing for our various companies.
  • Picking up Checks.
  • Helping with Accounts Payable.
  • Running Errands (Picking up/dropping off equipment, bank, going to the DMV.) 
    • Picking up supplies for our mechanics. 
  • Filter through emails that need attention. 
  • Preferred experience with Quickbooks Online.
  • Miscellaneous tasks as needed.
Qualifications:
  • High school diploma or equivalent; additional education or certification in office administration is a plus.
  • Proven experience as a secretary or administrative assistant.
  • Proficiency in Microsoft Office suite. (Word, Excel, PowerPoint)
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication abilities.
  • Ability to prioritize tasks and work efficiently under pressure.
  • Attention to detail and accuracy.
  • Professional demeanor and positive attitude.
