A 501(c)(3) nonprofit educational organization, Music for All's programs include 30 annual events, serving more than 600,000 attendees each year - more than 1.3 million in our 48-year history. Our programs including the Bands of America Grand National Championships and Regional Championships for marching bands, the Music for All Summer Symposium camp for students and teachers, the Music for All National Festival and Affiliate Regional Music Festivals for concert bands, orchestras, choirs, chamber ensembles, percussion ensembles, and the national honor concert band, jazz band, orchestra, and the Bands of America Honor Band that marched for the sixth time in the Rose ParadeĀ® in 2026.
POSITION DESCRIPTION
Music for All is seeking qualified candidates for an Events Coordinator position. This position is a full-time position, including a competitive benefits package and annual salary. The Events Coordinator works under the direction of the Senior Director of Events. The Events Coordinator plays an important role within the larger department while also working independently on projects.
Responsibilities will include:
Assist in the planning of all events, on-site and pre-event.
Music for All National Festival Responsibilities:
Manage venue logistics and staffing for performances, manage group meals for staff and ensembles, coordinate staffing and volunteer needs, coordinate staff, clinician and VIP housing for the Music for All National Festival, and provide support for group housing for the Music for All National Festival
Fall Championships Responsibilities:
Provide support in planning and executing up to 6 regional championships. After year one, this position will be responsible for planning and executing up to 5 regional championships. Communicate and coordinate all logistics/operations with assigned event venues and internal/external staff.
Summer Symposium Responsibilities:
Provide on-site support to managers for the Summer Symposium. Including but not limited to being on-site at Ball State University for the duration of camp and assisting with pre-event planning.
Creating, organizing, and maintaining electronic files and efficient digital workflows.
Independently and collaboratively managing multiple internal and external projects simultaneously.
Every candidate for a position at Music for All must understand and acknowledge that a substantial portion of the organization's business is the planning and execution of special events. As such, all Music for All employees are involved in the planning of events and have some on-site event production duties and responsibilities with some travel required.
POSITION REQUIREMENTS
Music for All is seeking an enthusiastic, team-oriented individual with the below skills:
Bachelor's Degree in Event Management, Hospitality Management or Music Business with at least two years of demonstrated work experience in Hospitality or Event Management
Or
5 years of demonstrated work experience in Hospitality or Event Management
  • Music background helpful but not required.
  • Ability to manage multiple projects simultaneously.
  • Self-starter who can work independently as part of a national team.
  • Demonstrated leadership, organizational, and interpersonal skills, as well as strong attention to detail.
  • Strong work ethic and willingness to embrace our organization.
  • Strong analytical and project management skills, and attention to detail.
  • Experience in a team-based, cross-functional work environment with effective and respectful communication as a top priority.
  • Excellent verbal and written communication skills and ability to work well with others.
  • Ability and willingness to travel, as well as to work outside the normal workday as necessary and required.
  • Experience and high level of comfort working with a diverse group of individuals (board members, staff, volunteers, etc.).
  • Technological proficiency and abilities with various platforms including Office 365, Microsoft Teams Workspace.
