As Operations Manager at Steven S. Toeppich & Associates, you will leverage your leadership skills to coordinate and direct the overall delivery and quality of service to maximize the Firm’s productivity. By working closely with the Managing Attorney,you will ensure first-class customer service and standard process compliance to ensure effective and efficient operations.
Primary Responsibilities:
● Develop and maintain employee handbook.
● Ensure legal compliance with federal, state, and local employment laws and reporting regulations affecting human resources functions.
● Coordinate onboarding and offboarding logistics for attorneys and staff.
● Provide ongoing performance feedback and manage the annual professional staff performance evaluation and compensation plan
● Manage time and attendance for all staff
● Regularly review company talent systems such as performance reviews, job descriptions, company policies/procedures and related documents
● Document complaints, improvement discussions, and disciplinary actions
● Develop human resources operations financial strategies by estimating, forecasting, and anticipating requirements, trends, and variances.
● Counsel leaders by providing advice on managing employees and cultivating the ideal culture.
● Evaluate and set forth effective recognition programs (ex: milestones, birthdays, promotions)
● Plan and coordinate all Firm events (including monthly attorney meetings, sponsored events, firms events, holiday parties, promotional materials etc.).
● Monitor and track monthly client development activities and engagement
● Manage and oversee the office's daily operations to ensure efficient service delivery to all personnel
● Serve as liaison with the office building’s management team
● Support and enforce office emergency policies and procedures.
● Oversee general office and facilities maintenance, repairs, and enhancements
● Process payroll in the absence of Comptroller
● Ensure employees' adherence to company policies and procedures.
● Assist Managing Attorney as needed: schedule meetings, travel arrangements, scanning, A, emailing, etc.
● Other details as needed to support the operations of the business.
Required Qualifications
● Excellent organizational and project management skills
● Superior client service, teamwork and verbal/written communication skills
● Proficient in Microsoft Office (particularly Excel)
● An understanding of business accounting principles and budget preparation
● Independent self- starter with strong self-imposed structure with organizational skills and business acumen
● Proven leadership and management skills and a demonstrated ability to successfully implement ideas and positively impact change
● Strong communication (written and verbal), problem solving, leadership and diplomacy skills that allow for successful interactions with attorneys, professional staff and vendors regularly
Job Specifications
