Tokio Marine HCC - Cyber & Professional Lines Group is Hiring a Facilities & Maintenance Coordinator Near Mount Kisco, NY

Facilities and Maintenance CoordinatorPosition OverviewUnder supervision, performs various facility and maintenance repair work in multiple areas, including plumbing, groundskeeping, machine servicing, or other general property work. Additionally, manages building access system, monitors external contractor work, and orders and stocks supplies as needed.
Location: Mt Kisco, NY
Work Status: Part-Time
Performance Objectives
  • Manage building access systems including adding, deleting, and maintaining employee access records and issuing electronic access devices.
  • Monitor various building equipment and office machines to ensure good working order such as HVAC units, refrigerators, mail processing machinery, copiers, etc.
  • Perform minor building maintenance and repairs such as repairing plumbing leaks, unclogging drains, and keeping toilets in operable condition.
  • Coordinate and monitor various contractors performing installation and maintenance on company property, including HVAC, electrical, plumbing, landscaping, painting, cleaning, and other related equipment and property.
  • Maintain building grounds including clearing walkways, removing debris on property, and performing seasonal work such as spreading salt on walk areas, etc.
  • Monitor and restock building and office supplies daily, including copier paper, water coolers, coffee, hand soap, and hand sanitizer. Monitor and restock kitchen supplies daily, including coffee, tea, cutlery, plates, cups, dish soap, etc.
  • Distribute incoming mail and packages and ensure that outgoing is placed in the mailbox each morning.
  • Purchase equipment and supplies necessary to perform tasks.
  • Coordinate all office inspections (elevator, fire, boiler, etc.).
  • Order and assemble office chairs and other small furniture items as needed.
  • Respond to building emergencies on an as-needed basis.
  • Ensure that all safety and emergency equipment, including exit signs, smoke and carbon monoxide detectors, and AED Defibrillator, is in good working order.
  • Plan and execute a fire drill at least once per year.
  • Arrange CPR training every two years.
  • Monitor temperature throughout the building throughout the day and adjust as needed.
  • Assist with office events as needed (additional chairs, tables, etc.).
Experience & Education
  • High School or GED.
  • 2 Years of relevant and progressive experience performing routine maintenance and repair of equipment and facilities. Possess basic knowledge of plumbing, carpentry, HVAC, and general office equipment.
  • Possess and have ability to apply basic knowledge of principles, practices, and procedures.
  • Good written and verbal communication skills with an emphasis on confidentiality, tact, and diplomacy.
  • Good organizational and analytical skills; demonstrated ability to manage multiple tasks simultaneously.
  • Intermediate proficiency and experience using Microsoft Office package (Excel, Access, PowerPoint, Word).
