Job description

Title : Development & Special Events Coordinator

Department : Resource Development

Reports : Director, Development & Special Events

Location : Remote " Travel requirements for this role are determined by business needs and directives set by leadership.

Employees may be required to travel to client sites, attend conferences, or participate in training sessions. Additionally, as our headquarters is located in Bayside, NY, team members may occasionally need to travel to or from this location for meetings, collaborative projects, or company events.

The frequency and duration of travel will vary depending on project demands, client engagements, and organizational priorities.

Job Summary :

The Special Events Coordinator is an integral part of the Development Team. This individual will manage, under the supervision of the Director of Development & Special Events and with support from other team members, the TAA Annual Gala, TAA National Walk, 2 Regional Golf Outings and the TAA Team Tourette athletic fundraising program, including charity partnerships, chapter events, and third-party fundraisers.

Instrumental in helping us reach our fundraising goals, the Special Events Coordinator will fundraise by recruiting volunteers and participants to these events, build relationships that result in innovative and creative fundraising, and initiate outreach initiatives to make connections with possible funders both corporate and individual.

Duties / Responsibilities :

  • Work closely with Director of Development & Special Events to realize TAA Special event budgeted goals and objectives; spearheads implementation of said events.
  • Execute successful Team Tourette events through peer-to-peer fundraising
  • Identify opportunities for 3rd party fundraising
  • Work closely with the Marketing Department to determine and realize necessary printed and digital collateral.
  • Execute / coordinate event logistics (timeline, invitations, catering, A / V, music, rentals, script, etc.) in coordination with event committees.
  • Negotiate contracts and rates with outside vendors to ensure lowest costs and highest quality of service.
  • Work in conjunction with TAA staff to develop appropriate mailing lists.
  • Work with TAA staff to ensure necessary inventory of event supplies is available on-site.
  • Work in conjunction with TAA staff, to ensure follow up Thank You letters to guests, chairs, committee members, vendors, etc.
  • Ensure processing of payments to vendors.
  • Proactively handle any arising issues and troubleshoot any emerging problems on the event day.
  • Compile and maintain thorough and detailed records, accurately tracking participants and donors.
  • With support from development team, manage gala communication.
  • Coordinate staff and volunteer assignments on event days.
  • Attend networking events throughout the NYC area
  • Submit weekly reports to track fundraising outreach

Required Skills / Abilities :

  • Team player that can interface with all levels of staff and volunteers. Must develop, maintain, and utilize relationships.
  • Ability to effectively multi-task, establish priorities, and work in a fast- paced environment.
  • Detail-oriented and strong organizational skills. Capable of handling diversified assignments and highly adaptable.
  • Excellent written, oral, and communication skills. Self-starter, requiring little supervision.
  • Proficient in Microsoft Office and successful experience using fundraising and donor management software.
  • Position requires some travel, nights, and weekends.

Education and Experience :

  • Associates degree required. BA or equivalent experience preferred.
  • At least one year’s experience in a non-profit environment with demonstrated experience in fund raising.

Physical Requirements :

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift 15 pounds at times.
